Vineyard Productions Ltd. is a winemaking and brand creation company that collaborates with vineyard owners and winemakers worldwide to create, produce and distribute award-winning wines. We develop new brands from concept to bottle, bringing high-quality wines to market in both the UK and international markets.
The Role
This is an exciting full-time, office-based position supporting both GWS and Vineyard Productions. You’ll work closely with our sales team, warehouses, logistics partners, vineyards, overseas offices, and international client base to ensure orders are processed efficiently, deliveries are scheduled and stock is managed effectively.
Key Responsibilities
Sales Support – Vineyard Productions (approx. 2 days per week)
* Processing and fulfilling orders, including invoicing.
* Liaising with warehouses (both UK and international) to ensure goods are prepared for collection.
* Assisting with stock forecasting, stock takes, and maintaining accurate records.
* Preparing and posting orders and samples, ensuring correct customs paperwork is included.
* Assisting in the procurement of fine wines for clients.
* Coordinating international shipping for overseas customers.
* Maintaining up-to-date inventory lists and assisting in stock management.
* Assisting with packaging of large orders and coordinating delivery schedules.
Office Management & General Administration - Both
* Ensuring the office is always manned during opening hours and accepting deliveries.
* Maintaining a tidy and professional office environment, ordering supplies as needed.
* Supporting the wider team with administrative and operational tasks as they arise.
* Regularly communicating with the Office Manager in France to ensure synergy across teams.
About You
We’re looking for a dynamic, detail-focused and highly organised self-starter who enjoys working in a fast-paced environment. You’ll be a team player who loves supporting colleagues and thrives in a role that combines administration, logistics and customer service.
️At least 2 years’ experience in an administrative role.
️Highly organised with strong multitasking skills.
️Calm under pressure with a team-first attitude.
️Strong written and verbal communication skills – confident in liaising with clients and suppliers via email and phone.
️Proficient in Microsoft 365 (Excel, Outlook, Word) and comfortable learning new systems.
️Adaptable, willing to learn and keen to develop skills across different areas of the business.
Desirable but Not Essential:
Experience in the wine, drinks or luxury goods industry.
Familiarity with Unleashed, Xero or stock management software.
A French or Spanish speaker.
A love of wine!
