Chiltern Way Academy Trust (CWAT) is an Ofsted 'Outstanding' academy, providing cutting-edge and transformational approaches to educating students with ASC and SEMH. We currently have four campuses, with two secondary schools, one primary school, and one combined school.
We need an exceptional HR Administrator. This is a key post in supporting the management and staff at Chiltern Way Academy Trust to be effective in their roles and provide the very best quality of provision to our learners. The successful candidate will support the full employee life cycle and will be involved in all areas of the Human Resources function. The post holder will be expected to work as part of the HR team in the provision of a comprehensive HR service at Chiltern Way Academy Trust.
Job Summary
1. Provide high-quality professional HR Administration to managers and staff for all HR-related matters.
2. Undertake specialist and general HR tasks as required and appropriate to the role.
3. Deputise and act up for the HR Advisor, as required.
Key Responsibilities and Duties
1. Support changes to employment law and best practice across schools HR.
2. Maintain the suite of document templates, e.g., employment contracts, variation to contract letters, invitation to meeting letters, resignation letters, etc. Ensure these are accessible to the team and kept up to date, relevant, and in line with contractual and statutory requirements.
3. Keep the Single Central Record up to date at all times.
4. Support the Trust's requirement to provide a Workforce Census.
5. Work closely with the Payroll Department to ensure workforce information is kept up to date, and any problems identified and addressed. Issue accurate payroll instructions to meet payroll deadlines.
6. Support and monitor the Absence Management Programme across the Trust.
7. Support and monitor the Probation Period Process with Recruiting Managers and highlight any concerns to the HR Manager.
8. Assist in the HR processes including recruitment and selection, starters and leavers, employment checks, induction, mandatory/other training, probationary period review, performance and development review, maternity/paternity/shared parental leave, flexible working requests.
9. Support the HR Manager in the management of poor performance, advising on solutions.
10. Take notes at formal HR Meetings.
11. Undertake Interviews with Recruiting Managers.
12. Assist the HR Manager to provide management information reports relating to HR, for example, absence data, staff lists, payroll costs, etc. Work on requests for information, ensuring timely and accurate responses are provided.
13. Work with management to ensure all information (e.g., jobs, hours, etc.) is up to date.
14. Administration of the day-to-day activities in the recruitment process, writing job descriptions and adverts, and placing them with suitable media. Providing a contact point for applicants and ensuring candidates’ information packs and interview packs are accurate and issued in a timely manner.
15. Process pre-employment checks and issue appropriate documentation; ensure checks are complete and compliant with school standards.
16. Assist with all new staff inductions.
17. Contribute to the development of HR policies, as requested.
18. Support the provision of HR data including data input, as necessary.
19. Maintain a filing system to ensure documents and information are retained and easy to locate.
About you
1. A CIPD Level 3 certification, or above or commitment to do so.
2. Previous experience of working in a fast-paced admin team.
3. Excellent organisation and communication skills.
4. Ability to multitask and deal with a range of incoming inquiries – organisation is key to the success of this role.
5. Ability to develop innovative ideas and solutions.
6. Excellent IT skills specifically MS Office; particularly Word, Excel, and Outlook, also keen knowledge, and experience of the importance of databases and their role in providing accurate management information.
7. Able to form and maintain effective working relationships with colleagues, service users, and third parties.
8. Self-motivated with a ‘can do’ attitude and determination to always strive for the best outcomes.
9. Able to streamline and improve operational processes.
10. Highly enthusiastic with excellent communication skills.
Desirable skills and characteristics
1. Excellent written, verbal, listening, and presentation skills.
2. Member of CIPD.
3. Knowledge of employment contracts and context within the education sector.
