The post holder will provide visible, proactive and systematic support to the Chief Operating Officer and senior operational team in a fast-paced environment.
This role is full time and office based. There can be flexibility with start and finishing times, 8am - 4pm or 9am - 5pm.

Main duties of the job
You will be central to the effective running of our hospitals in your support to the COO, leading on projects, planning and organising diary commitments, preparing key reports and papers, administering key meetings and being the main point of contact for hospital operations.

You will be instrumental in providing professional, proactive and flexible support to an executive director and their team, offering a range of effective administrative, budgetary and business support services.
Working with minimal supervision on specific projects and work streams to contribute to the delivery of the Trust's objectives.
You will be a key member of the Corporate Team, with considerable freedom to act autonomously to ultimately free the director to focus on their own roles.
To achieve this, the post holder will apply excellent judgement, discretion and initiative, combined with excellent organisational, prioritisation and analytical skills.
You will also offer effective day-to-day management of the director's office, which will involve complex inbox and diary management, secretariat and other administration support as required.

Education and qualifications
Essential
* Degree in secretarial, management, administration or business studies or equivalent knowledge gained through experience
Desirable
* Prince 2 or equivalent qualification
Knowledge
Essential
* Understanding of information governance and confidentiality
* In-depth knowledge of Microsoft Office packages, including Excel and PowerPoint, internet, e-mail etc
* Knowledge and understanding of using the web and web-based information products (including the Intranet).
Desirable
* Knowledge of current NHS Policies
* Understanding of equality and diversity issues and how this affects patients, visitors and staff.
* Understanding of what the NHS constitution means to you, and your responsibilities to the public, patients and colleagues.
Experience

* Experience in the NHS as a personal/executive assistant to a senior director or Board level officer
* Significant experience of servicing, taking and transcribing formal minutes at high level/senior meetings
* Communicating complex, sensitive information with a range of staff internally and externally across the organisation.
* Working effectively as part of a team in a busy office
* Experience of using Microsoft Office products
* Experience of producing detailed written reports and presentations
* Experience of managing own workload and dealing with conflicting priorities.
