Job Summary The Office Manager/Administrative Assistant will coordinate the office needs and support the oversight and achievement of administrative projects. The person in this role will provide office support to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. The Office Manager/Administrative Assistant must be able to ensure the smooth running of the office, helping to improve company procedures and day-to-day operations and provide continuity for all business locations. Responsibilities And Duties Office Manager Duties Act as the initial point of contact for the office for internal and external communications; Sorting, and prioritizing communications - telephone, email, mail, and deliveries Serve as the point person for office manager duties including maintenance, incoming and outgoing mail/parcels, supplies, equipment, errands, and shopping. Maintain the office calendar by coordinating business meetings, appointments, and staff PTO; Communicate commitments, adjustments, and important dates as needed. Organize the office layout and order supplies and equipment; Maintain the office condition and arrange necessary repairs. Coordinate with building maintenance and/or liaise with facility management vendors, including cleaning, service providers, and security services. Manage contract and price negotiations with office vendors and service providers. Manage office General and Administrative budget, ensure accurate and timely reporting. Organize office operations and procedures; Partner with HR to update and maintain office policies as necessary. Facilitate assistance with office management issues (e.g. supplies, equipment, and travel arrangements). Administrative Assistant Duties Maintains records, documentation, and files related to administrative operations and office project management. Assists clerical and support staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required. · Prepares agendas, and maintains calendars for location. Makes travel arrangements as required. · Drafts schedules for implementation of long-range plans and proposals. · Monitors office project progress, drafting and distributing periodic progress reports for management. Performs other related duties as assigned. General Duties Manage sensitive matters with a high level of confidentiality and discretion. Ensure compliance with any company policies and procedures. Help as needed with computer duties, maintaining documents, calendar coordination, and communication between departments. Comfortable learning new software applications quickly and with little direct supervision Possess a strong desire to keep IT-related skill set relevant and useful. Excellent time management skills, self-motivation, and ability to prioritize work. Hands-on experience with office machines (e.g. copiers, LAN, postage machines) Demonstrates ability to take initiative, anticipate needs, and multitask. Required Experience and Education High school diploma or equivalent required; Associate degree in office administration or related field preferred. At least five years of administrative and clerical experience required. Physical Requirements Must be able to work in an indoor office environment and an active outdoor construction site environment. Must be able to ascend and descend ladders, stairs, and work in confined spaces and in proximity to loud equipment. Must be able to traverse irregular and steep terrain. Must be able to work in various weather conditions and be exposed to dirt or dust. Must be able to wear required personal protective equipment most of the day. Must be able to lift and carry 25lbs regularly and 50lbs occasionally. Must be able to work for long periods of time in front of a computer or while standing.
