The Property and Construction Division (PCD) leads Scotland's public sector property and construction procurement policy, improving procurement practices and the stewardship of Scottish Ministers’ property. Based in the Scottish Procurement and Property Directorate, PCD is led by the Chief Surveyor and Head of Property and Construction, Morag Angus, and supported by two professional teams and the Finance and Support Team. The Executive Assistant (EA) to the Chief Surveyor and Property Support Officer role provides key support, including property data, finance, and the Single Scottish Estate programme. Responsibilities Responsibilities Maximise the effective use of time for the Head of Division by providing executive support. Provide support in delivering a range of tasks to enable the division to meet its commitments, primarily focusing on improving property data. Report to the Head of Finance and Support Team (FST), handling correspondence, commissioning responses, managing the diary, arranging travel, and organising and minuting division SMT and whole-division meetings. Support the Property Data Officer and Head of FST, focusing on property data improvement, updating records, liaising with public bodies, reporting MI data, and providing ad hoc administrative support for specialist property and construction teams and the Single Scottish Estate programme. Ensure the appropriate management, response, storage, and sharing of correspondence and data to efficiently manage the Head of Division’s diary and correspondence. Gather public sector-wide property data and work with stakeholders to validate and transfer property data from e-PIMS to InSite. Manage the use and functionality of Horizon, particularly reporting, within PCD and across other areas of the Scottish Government. Develop and manage a property records and data management plan for use across PCD. Build links with internal and external stakeholders to facilitate the transfer of public sector-wide property data from e-PIMS to InSite. Assist in contributing to briefings (for Ministers and senior staff), data papers, and reporting dashboards. Liaise with a variety of internal and external stakeholders and attend board meetings as required. Manage self-development, identify learning opportunities, and share continuous improvement and lessons learned across the division as appropriate.
