Duties to include but not be limited to: Liaising with clerical officers, appointment clerks, admin supervisors and departmental managers on a daily basis to ensure adequate cover across all appointment and reception areas; including during evenings, weekends and bank holidays. Taking responsibility for the daily running of appointment and reception areas, prioritising the workload of self and others and making necessary adjustments to ensure adequate staffing and cover is maintained. Providing a key link between the departments senior management team, ensuring that programmes of work are coordinated effectively and deadlines met. Acting as a link between clerical staff and clinical staff to promote a quality service and a proactive outlook within the department. Attending regular update meetings with relevant staff to discuss staffing issues, problems, upcoming changes or projects etc. Communicating with patients, relatives and other healthcare workers to ensure appropriate dissemination of information. Confidently providing information where there may be barriers to understanding. Dealing with enquiries from other departments / directorates / Trusts, together with enquiries from GPs, patients and relatives regarding appointments, queries, problems or complaints Acting on own initiative to resolve problems presented by service users, clerical or clinical staff.
