Ashton Recruitment require an Events Officer for our client based in Antrim.
Position: Events Officer
Location: Warrenpoint
Duration: Temporary
Hours: 36 Hours per week
Rate of Pay: £16.83 per hour
Duties include (but not limited to):
1. To undertake the development, organisation and promotion of the Programme of Tourism Events and Festivals across the district.
2. Provide support to the Events Supervisor in the coordination, implementation and delivery of the events programme, being onsite for delivery of flagship events and assisting with enquiries from members of the public, statutory agencies, contractors and Council officials.
3. Provide assistance to the Events Supervisor in the implementation and administration of the events programme including grant/sponsorship applications and grant claims.
4. Undertake a range of administrative duties relating to the implementation of the events programme and tourism events development strategies and plans, as required.
5. Assist in the procurement of relevant services/suppliers/contractors in line with Council procurement policy and guidelines to support delivery of Council events. Ensure that invoices, quotations and other relevant documentation are collated, purchase orders raised and documentation retained in accordance with Council procedures or funding requirements.
6. Track and monitor event expenditure against event plans and budget, providing regular updates to the events supervisor on budget spend and variances.
7. Research and compile data/content for Events Guides, brochures, social media and websites including updating information for tourism events and flagship festivals on the Council's destination websites, and other partner websites.
8. Support the Events Supervisor in liaising with service contractors, business groups, individual event organisers, stakeholders and members of the public.
9. Assist in the production of all suitable marketing and promotional activities, including market research to gather information on the success of events in line with corporate communication procedures and guidelines.
10. Co-ordinate all logistics for the delivery of the Programme of Tourism Events and Festivals, including liaising with suppliers, and supporting the Events Supervisor in ensuring compliance with Health and Safety procedures, undertaking risk assessments and ensuring all necessary approvals are in place.
11. Assist in developing and managing positive working relationships with event organisers, multi-agency teams and sponsors in relation to events/festival requirements.
12. Assist in the management, negotiation and agreement of contracts with promoters, performers or their agents, and ensure that legislative requirements and Council procedures are adhered to.
13. Assist in the development of all event marketing campaigns including the preparation of promotional material, editorials/press releases, photography and videography and supervision of photocalls in partnership with Council officers, Corporate Communications and all relevant agencies.
14. Monitor and evaluate the effectiveness of event marketing campaigns.
15. Organise, administer and represent the Council at meetings and appointments with a range of event stakeholders e.g. events partners, potential sponsors and government agencies.
Essential Criteria
1. Grade C or above in at least 4 GCSEs or equivalent, two of which must include GCSE English Language or equivalent and GCSE in a numerate subject or equivalent.
2. 1 years' experience of coordinating, implementing and delivering a programme of tourism events OR In lieu of qualifications 2 years' experience of coordinating, implementing and delivering a programme of tourism events.
3. Experience in assisting with grant claims.
4. Experience of processing accounts, invoices and raising purchase orders.
5. Experience of researching and compiling promotional data, to include; event guides, brochures, social media platforms and websites.
6. Experience of working with a range of internal and external stakeholders.
7. Be able to demonstrate competence in use of e-mail and Microsoft office applications including word, excel, PowerPoint.
8. Full current driving licence and access to transport, or access to transport to meet the requirements of the post.
9. Ability to work frequently outside of normal office hours, including evenings, weekends and public/bank holidays.
