Job summary An opportunity has arisen to join our administration team in this newly created post. The main duties of the role is to undertake various administrative duties associated with the custody and use of health records as outlined in the Health Records Policy (OP07) as well as those associated with a patient's admission and/or attendance to the Trust, as outlined in the Patient Access Policy (OP39). To provide full administrative support to the Clinical Nurse Specialist (CNS) team within the Directorate of Oncology and Clinical Haematology, to include all administrative procedures and documentation associated with a patient's attendance / admission to the hospital. It is expected that staff will be able to demonstrate a significant level of initiative,particularly when dealing directly with patients, make decisions and take appropriate action in accordance with Trust and Departmental Guidelines. Plan and organise their own work without direct supervision. Cover for colleagues during absences. Please note; this post is full-time and unfortunately part-time hours cannot be considered on this occasion. Main duties of the job To respond in an efficient, polite, and timely manner to all telephone calls received via the CNS team offices To be responsible for the accurate in-put, up-date, and amendment of patient related information onto the computerised Patient Administration System (PAS), and Electronic Referral System (ERS) and any other computerised system used by the service To accurately scan paper referral letters or MDT proforma's onto CWP (Clinical Web Portal) To action all instructions initiated by CNS's about the appropriate booking for outpatient appointments in CNS clinics In line with agreed Trust targets, to book, cancel or change patient CNS appointments on PAS. To accurately record reasons for patient cancellations/change of appointments, including appropriate action for urgent referrals. To ensure the unfilled slot report is reviewed on a daily basis and that new/review patient slots are utilised and filled at short notice.
