Veevers Carter (part of the EC Group) has an opportunity for a Senior Project Manager to join our team. This is a new role, a first of it's kind and we are looking for someone to bring Project Management methodology and ways of working to our team. This is a fantastic opportunity to lead on carving out the Project Management team. This role is essential in ensuring that all of our floral projects are executed seamlessly - on time, on budget, and with exceptional coordination. Our Project Managers focus on the operational side of projects, allowing our talented designers to concentrate on creating stunning floral experiences and leading client relationships. You’ve been a project manager, production manager or producer in a previous life. You are experienced with project management methodologies and confident that you can bring new process, enhance ways of working and bring our design team along on that journey. You are experienced and skilled in project management process and are comfortable managing timelines, budgets and multiple stakeholders across multiple projects. You have worked in a creative environment or agency, alongside creatives and understand how to manage creatives as stakeholders. You are an attention-to-detail-focused master plate spinner with a passion for lists and a stickler for process. Systems and software come naturally to you, and you quickly pick up workflows. You are a natural problem solver and are happy to jump in and collaborate to solve issues so our clients have a wonderful experience and our internal teams work in harmony. You are a natural connector of people; they trust you to be calm and knowledgeable and know that you will do what you say you are going to do. You enjoy a fast-paced, creative environment. However importantly, this is not a design role. While we encourage everyone to think creatively (Creative Ingenuity is one of our core values), this role is in the detail and buddy's with our designers to turn vision into (well ordered) reality. You need to be happy to work in our offices in South Bermondsey a minimum of 3 days per week. We are a hands on industry and face time with our florists and creatives is an important part of this role. Day-to-day responsibilities: Project Planning & Coordination Supporting designers on projects to ensure that requirements are captured Creating project plans and sharing them with clients and internal stakeholders (transport, crewing, floral buyers, florists). Keeping all stakeholders informed and flagging any timing or accuracy concerns Creating and tracking budgets, identifying any risks or overruns early Keeping internal systems up to date (HubSpot for enquiries and R2 for quoting, timelines and logistics) Reconciliation of projects in R2 (our internal quoting and management system), ensuring that costs are recorded and profit margins on projects are accurate and up to date Ensure documentation is filed in the right places and labelled accurately Coordinating with designers to ensure that RAMS are created, accurately stored and sent to the right people Communication & Information Flow You will be copied on all project-related communications to capture critical information and ensure it is shared with the appropriate teams Act as the central point of contact between floral designers and internal departments (floral studio, logistics, operations, and procurement) to guarantee smooth project execution Ensure that everyone has the information they need, drawing from our designers and disseminating it to wherever it needs to be so no one is left wondering. Liaising with venues, sending staffing lists, ensuring they are kept informed of schedules and timings Internal collaboration: Working closely with internal teams to confirm all elements of the project are where they need to be, when they need to be Facilitate handoffs between design and operations teams, ensuring everyone is aligned and has the knowledge they need Liaising with our finance team to ensure they have all they need to be able to invoice projects and that new clients are set up accurately Management of inbound enquiry, RFP & Tender Support Project management of inbound enquiries, working with the MD to ensure that leads are logged and allocated and the appropriate set up is carried out on internal systems Project managing responses to RFPs and Tenders, pulling together the relevant information and ensuring they are responded to in a timely manner Process & Efficiency: Implement and optimize project management processes to increase team efficiency Bringing others on the journey and helping them to understand the benefits of project management process Identify areas for operational improvement and propose solutions Purchase ordering, management of project-related expenses and general data entry specific to your projects Why us?
