Job overview
Sutton Community Health and Care Services are looking for an enthusiastic innovative Band 4 Senior Administrator to complement and provide cross cover for our Children's Therapy teams.
The Children’s Therapies Team is made up of Dietetics, Occupational Therapy, Physiotherapy, Speech & Language Therapy and Administrators. We provide assessment, treatment and support for children and young people presenting with a wide range of health needs within the London Borough of Sutton.

Main duties of the job
The Administrative team is the first point of contact for service users within Children’s Therapies. The post holder is expected to respond in a timely and professional manner to any enquiries. Responsibilities include:
* Supporting clinical staff and Service Managers with administration tasks underpinning clinical delivery of care.
* Managing patient appointments and referrals.
* Providing supervisory support to the Band 3 Administrators.

Administration
* Organising clinic appointments as required.
* Dealing effectively with telephone enquiries using own judgement.
* Maintaining and updating referral caseloads.
* Managing confidential patient information.
* Creating and maintaining professional customer service within the Children’s Administrative Team.
Communication
* Exchanging complex and sensitive patient information.
* Communicating effectively with parents, carers, and other family members.
* Liaising with key stakeholders at a senior level.
Data and Reporting
* Supporting the production of complex monthly reports.
* Maintaining databases/spreadsheets accurately.
Personal Attributes
* Ensuring all deadlines are met and workload is prioritised.
* Working cohesively and flexibly with peers.
Other Responsibilities
* Liaising with Procurement, Facilities and any other teams as required.
* Adhering to legislation and Trust policy on patient confidentiality.
* Participating in audits and surveys as requested.
Person specification
Education / Qualifications
* GCSE grade C or above in English and Maths, or equivalent.
* Secretarial or administrative qualification or equivalent.
Experience
* Demonstrable experience of working in an administrative role in health/social care.
* Extensive experience in customer service/patient liaison roles.
* Experience of organising meetings with numerous attendees.
Skills/Abilities/Knowledge
* High standard of customer service and attention to detail.
* Excellent verbal and written communication skills.
* Ability to work under pressure and meet deadlines.
