Job summary We are a friendly team looking for an office manager to manage both reception and administration duties. We are looking for an enthusiastic and positive person who will be responsible for the clerical teams ensuring all tasks are performed effectively and to a high standard, meeting the objectives of the practice. Main duties of the job The 4 main responsibilities are: Supporting the Operations Manager in the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities Line managing the Administration and Reception Leads, providing guidance and direction. Ensuring all daily workloads are completed. Implementing and embedding an effective practice and staff development plan for the reception and administration staff whilst maintaining a robust training record Management of the Telephone system, analysing the monthlyreports and always ensuring adequate cover. About us We are a large practice of 7 GP Partners, 1 Salaried GP, 7 member of the Nursing team, 15 receptionists, 5 administrators and 3 secretaries. We work over 2 sites Blidworth and Ravenhead. Implementing and embedding an effective practice and staff development plan for the reception and administration staff whilst maintaining a robust training record k. Reviewing and updating all administrative and Reception policies and procedures as required according to the current CQC guidelines. l. Being the second line of contact for all complaints, following the complaints process, ensuring complaints are dealt with in a timely manner and, where necessary, escalated to the next level m. Identify trends and devise solutions to reduce risk and repeated occurrences of significant events n. Mjog Management, updating templates and extracting the friends and family data o. Completing an agenda for NASPRO and Management team meetings, taking minutes and completing minutes. Completing and submitting the attendance document for PCDC for all NASPRO events. In addition to the primary responsibilities, the Office Manager may be, requested to: a. Deputies for the Operations Manager b. Guide the team to reach QOF targets (supported by the nursing and administrative leads) c.
