Responsibilities:
1. Provide the school with a first point of contact for all visitors/callers, responding to enquiries where possible or referring to appropriate member of staff as required.
2. Manage parent/carer enquiries and visitors to the school.
3. Follow school security and safeguarding procedures regarding access and entry to the premises for all visitors, issuing the relevant lanyards for access.
4. Manage and action messages received from parents.
5. Interact with all students presenting themselves to reception in a calm and professional manner.
6. Issue appointment cards for students.
7. Handle difficult situations and issues with sensitivity and calmness, ensuring you are always aware of the safeguarding of pupils, Data Protection issues, and the need for strict confidentiality at all times, reporting any concerns to the appropriate person.
8. Provide general administrative assistance including texting/emailing, letters, printing, scanning, and issuing student reward postcards.
9. Manage any mail received and being sent out.
10. Ensure all appropriate information and communications are disseminated to appropriate staff.
11. Assist with initial enquiries for In Year Admissions, explaining the application process to parents/carers.
12. Book meeting rooms and appointments for external visitors.
13. Support the First Aid Lead with any students who present themselves unwell or require medical attention at the reception desk as required.
Minimum Requirements:
1. Educated to at least 5 GCSE Grade 5/C standard (or equivalent) in English and Mathematics.
2. Evidence of professional development in a relevant discipline.
3. Excellent problem-solving, communication, and organisational skills.
4. Ability to maintain confidentiality and deal sensitively with related issues/individuals with tact, diplomacy, and discretion.
5. Ability to work quickly, methodically, and accurately under pressure and act flexibly to support others and respond to unplanned situations.
6. Good interpersonal skills and an ability to develop and maintain effective working relationships.
7. Efficient, accurate, and excellent attention to detail.
8. Excellent communication with people at all levels of the organisation.
