Job Summary
We are seeking a highly organised and detail-oriented Business Support professional to join our team. The ideal candidate will provide essential administrative support, ensuring the smooth operation of daily business activities. This role requires proficiency in various office software and excellent communication skills to effectively assist colleagues and clients.
Duties
1. Filing – both electronic and hard copy
2. Corresponding with clients and third parties via telephone and email
3. File opening and dealing with the necessary compliance including ID checks
4. Recording any chargeable time as required
5. Photocopying and preparing bundles or other relevant enclosures
6. Scanning generally and scanning and labelling the department’s post
7. Dealing with letters/attendance notes
8. Updating and maintaining databases to correspond with the documents held in the storage
9. General administrative assistance, e.g. preparing a Will for engrossment, storing the same
10. Updating case management system
11. Raising cheque/Bacs/TT requests
12. Taking new client enquiries and allocating appointment slots
13. Taking the overflow telephone calls from reception
14. Franking the firm’s post and organising any DX items to go out on a daily basis
15. Booking rooms for meetings
16. Making files ready for archiving and dealing with all necessary compliance procedures
17. Covering reception at lunchtimes and holiday cover
18. Adding new precedents to the case management system
19. Updating department resources such as factsheets and client questionnaires

6. Work to high levels of accuracy & attention to detail
7. Confident dealing with a wide range of people via telephone, email or face to face
8. Professional telephone manner
9. Ability to work under pressure in a busy office
10. Previous experience in an administrative role
11. Confident working with Microsoft Office software (mainly Outlook, Excel & Word)
