Receptionist (Job Share - Part Time) 5 days pw morning shift

Primary Responsibilities
1. To ensure continuous reception cover by operating a true job share with the other part-time receptionist as a priority.
2. To deliver an efficient and professional Reception service operating the relevant telephone system.
3. To ensure good customer care by responding quickly, politely and efficiently to telephone calls.
4. Assist the Finance Department with processing invoices and dealing with queries when requested.
5. Assist other Departments with administrative duties as and when required.
6. To work collaboratively with the job share partner to ensure smooth and consistent running of all functions.
Handle ‘Phones and Console Management
1. Answer the telephone in a professional and courteous manner as quickly as possible.
2. Determine the purpose of calls and forward to the appropriate person/Department or interact with the caller on behalf of Taylor Wimpey.
3. Take accurate messages from clients when necessary and deliver these messages to the appropriate person in a timely manner.
4. To maintain the abbreviated dialing system and assist with the directory and ‘phone system.
5. Welcome on-site visitors, logging them in and out of the Regional Office, always ensuring that Company Health & Safety/Security Policies & Procedures are complied with.
6. Determine the nature of business and announce visitors to the appropriate person/Department.
Ad Hoc Duties
1. Receive and distribute mail/parcels as they arrive.
2. Franking outgoing mail when required.
3. Assist in monitoring the franking machine supplies and payment top up.
4. Assist Executive Secretary and Departments as and when required.
5. Control meeting room diaries.
6. Receive goods/services into reception, notifying individuals of delivery – keeping reception area clear at all times.
7. Type up standard letters and forms when requested.
8. Ensure all staff log in and out of office using company logging in and out systems in place at the time.
9. Order the stationery for the office and all departments.
10. To maintain staff and site contact details, updating monthly or as necessary (i.e. staff listings, telephone lists etc).
11. Provide essential cover when other part-time receptionist is on holiday or during any absence.
12. Organise own holiday cover in advance, liaising with Executive Secretary and other part-time receptionist.
13. To provide switchboard training to fellow employees, if necessary.
14. Arranging couriers.
Experience, Qualifications & Technical Requirements
1. Ideally receptionist background.
2. Strong administration experience.
3. Used to working within a fast-paced & pressurised office.
