An exciting opportunity has arisen to work within the Specialist Palliative Care Team based at St Benedict's Hospice as a Medical Secretary.
The post will form part of a job share with another medical secretary, working Monday and Tuesday between the hours of 08:30 am - 5:00 pm, based at St Benedict's Hospice.
The post holder will act as a pivotal role for all communication with patients and professional health colleagues within the multi-disciplinary team, internal departments, and external agencies as necessary, to ensure continuity of patient care.

Main duties of the job
This is a part-time role of 15 hours per week.
1. To provide a comprehensive and effective secretarial service to the Consultants and medical staff at South Tyneside Specialist Palliative Care Team and other members of the specialist palliative care team.
2. To provide a competent secretarial service to the Consultant and his/her team, making decisions and taking action on matters of a non-routine nature on their behalf.
3. To ensure Meditech V6/EMIS is accessed and utilised in a manner appropriate to the service, working in real time.
4. To provide personal assistant (PA) duties for a consultant/group of consultants, including assisting in the organisation of the Consultants' workload, ensuring full capacity is achieved and working at least 5-6 weeks ahead for planned activity where appropriate.
5. To maintain the consultants' diary, organising and arranging meetings as necessary and notifying relevant stakeholders regarding holidays and study leave.
6. To deal with patient queries and communicate with internal and external agencies such as Social Services and other hospitals, answering telephone calls, resolving enquiries, and redirecting calls using a warm, smooth handover approach.

Job responsibilities
1. To provide a comprehensive and effective secretarial service to the Consultants and medical staff at South Tyneside Specialist Palliative Care Team and other members of the specialist palliative care team.

4. To ensure that all clerical and secretarial functions pertaining to the Department are carried out in an efficient and cost-effective manner according to the Trust Secretarial standards, local and national standards.
5. To ensure Meditech V6/EMIS is accessed and utilised in a manner appropriate to the service, working in real time.
6. To maintain a waiting list position that meets national and local standards and CQUIN where appropriate.
7. To assure the Directorate Management team of a valid and contemporaneous waiting list position that meets national waiting time requirements.

Person Specification
Qualifications
* OCR/RSA3 typing/word processing/business admin or equivalent experience.
* Good standard of general education including GCSE in English.
* AMSPAR Diploma.
* Audiotyping certificate.

* To deal effectively with patient enquiries.
* To use initiative to problem solve.
Experience
* At least 2 years recent experience in a medical secretarial role or relevant experience in a healthcare setting.
* Experience of a full range of secretarial procedures including diary management and arranging meetings.
* Experience of minute taking.
* Experience of audio typing.
* Ability to read and analyse data.
* Knowledge of current legislation regarding data protection.
Skills, Attributes and Knowledge
* Knowledge of medical terminology.
* Knowledge of Microsoft Office Packages.
* Understanding of palliative care.
* Knowledge of EMIS system and/or Hospital Information System (Meditech).
* Willing to undertake necessary additional training.
