Company: Victoria College of Arts and Design Job Title: Executive Office Administrator (Senior Management Team) Reports to – VCAD Director Location: ON-SITE, London, Canary Wharf Salary Range: £30,000 Hours: Full Time (Monday to Friday) Overview: We are seeking a confident and highly professional Executive Office Administrator (Senior Management Team) who will support the Senior Management Team at Victoria College of Arts & Design. The position demands exceptional organisational skills, initiative, collaborative flexibility, personal confidence and the ability to manage various responsibilities in a fast-paced higher education setting. Key Responsibilities: Academic and Administrative Support • Assist and oversee the preparation and formatting of appropriate management reports, proposals, materials and presentations. • Support the SMT’s work by carrying out internal and external research; gathering and managing relevant data. • Coordinate and Manage, as required, events, committees and Board meetings. • Maintain records, timelines, and diaries regarding projects, deadlines, and regulatory requirements. • Oversee and maintain, as required, relevant calendars, diaries, communications, and other appropriate VCAD oriented arrangements. • Serve as a first point of contact for internal and external colleagues, students, clients and business partners. • Prepare agendas, collate and disseminate documents and take, manage and distribute minutes of meetings. • Professionally handle confidential files, documents and information. Ensuring full compliance with all appropriate privacy policies, both internal and external. • Assist, as appropriate, with Staff and Human Resources matters. • Oversee, manage and develop various administrative processes to benefit the work of the VCAD Senior Management Team. • Provide general office support. Qualifications and Experience - Essential (E) Desirable (D) • Experience in responsible and professional administrative roles. (E) • Excellent written and verbal communication skills. (E) • Proficiency with Microsoft Office and other relevant digital platforms and tools. (E) • Ability to work independently and prioritise tasks effectively. (E) • Basic knowledge and understanding of academic structures and higher education operations.
