An exciting opportunity has arisen for a Personal Assistant to support the Unit Managers on the Acute Medical Unit at Fairfield General Hospital, providing administrative support and office management.
We are looking for a candidate who is efficient, highly motivated, driven, and able to maintain confidentiality at all times.
Main duties of the job
* Act as first point of contact for all communication for the Unit Managers.
* Communicate professionally and effectively with Senior Management, clinicians and colleagues internally and externally.
* Provide a confidential secretarial service, maintaining confidentiality at all times.
* Assist the Unit Manager in roster planning, annual leave, sickness and absence management.
* Provide, receive and manage information electronically, verbally or in writing which may be of a confidential or sensitive nature, which may involve individual, staff or patient matters or matters of commercial confidence.
* Provide diary management, arranging of meetings, appointments and interviews as required.
* Prepare and type agenda along with distribute minutes of meetings.
* Maintain internal filing systems aligned in accordance to the non-clinical records management strategy.
* Work in a self-directed manner to progress aspects of the AMU Unit Managers actions that do not require their direct involvement.
* Take responsibility for planning and prioritising own workload, ensuring that requirements are met.

Person Specification
Knowledge
* Understanding of confidentiality and data protection
* Excellent IT use of Microsoft Office
* Ability to work quickly and accurately, using own initiative in relaying complex medical information.
Qualifications
* GCSE or equivalent.
* RSA III Audio/Copy Typing or equivalent demonstrable skills
* Certificate in Medical Secretarial Studies or similar
Experience
* Previous experience of working as a PA/Medical Secretary or Ward Clerk
* Experience of minute taking
