We are looking to recruit experienced and dedicated Admin Assistant across the Blackpool (FY1) area. We are recruiting staff on a temporary to permanent basis where you will be on a probation period for 12 weeks before you move across permanently.
Role: You will provide a high level of professional support to the service. This is a busy office and the post holder must be able to plan and prioritise a varied workload, exercising appropriate judgement and responding promptly and appropriately to all enquiries. The post holder will be required to handle information of a confidential nature and must observe the highest standards of professionalism, discretion and confidentiality. The post holder will demonstrate excellent communication skills, both verbal and written, and the ability to liaise professionally with service users, staff and external stakeholders.
Regular Daily Taks:
* Checking and responding to emails prioritising and responding accordingly
* Creating and updating spreadsheets
* Creating graphs and reports to share with the board members and the Executive Team
* Gathering weekly reports and collating data for analysis
* Answering phone calls, ensuring any messages are recorded and passed on to the relevant individuals
* Responding to urgent queries, concerns or complaints professionally
* Managing diaries and prioritising appointments
* Planning and preparing relevant records and reports for meetings
* Maintaining accurate records including updating regular staffing spreadsheets
* Updating the central records and databases
* Sending invites to meetings, investigation and disciplinary meetings
* Taking verbatim minutes and writing outcome letters
* Working as part of the Team at the Office
* Collating information for contract management purposes, CQC Inspections and compiling professional reports and action plans
Hours: Part time opportunity to accommodate school hours 16 hours (2-3 days) per week. Monday necessary and flexible for any other day in the week
Salary: Salary will depend on experience and qualifications. Will start from £12.00 an hour

* Excellent IT skills, including proficiency in the use of Word, PowerPoint, Outlook and Excel
* Excellent data recognition and data entry skills
* Written communication skills of a high standard including the ability to draft, proof and edit correspondence and reports using a range of appropriate styles and formats
* Good verbal communication, listening and delegation skills with the ability to adapt communication style to suit the audience
* Good diary management and prioritisation skills, with the ability to anticipate and think ahead to make the necessary arrangements linked to diary appointments
* Excellent time management skills, including the ability to work on a variety of tasks and multiple projects and to prioritise these effectively
