The Role
The role holder is expected:
to undertake a wide range of secretarial administrative activities to support senior management, their teams and assist in the smooth running of the department including Executive Assistant support when required.
to be an experienced secretarial administrator with a comprehensive understanding of the systems, processes and procedures of the department.
to work professionally and efficiently liaise with internal and external stakeholders.
Role Responsibilities:

Undertakes a range of specific secretarial and administrative duties to provide support to Senior Managers and management teams and contribute to the smooth running of the department.
Support and control diary management and meeting requirements for line manager ensuring appropriate time management to allow adequate meeting preparation.
Arranging and co-ordinating travel requirements and associated costs using Company systems, working to budget constraints and optimising use of Manager's time.
Communicating in an efficient and professional manner, to internal and external stakeholders.
Liaising effectively with stakeholders (colleagues/other internal teams/customers/suppliers) making sure a proactive response is maintained when dealing enquiries and the exchanging of information.
Operating in accordance with departmental/Company procedures.
Proactively collating and analysing information from various sources in order to produce reports, schedules, presentations, summaries and letters as required for internal/external distribution.
Prioritise own workload in order to meet deadlines without compromising quality standards, and check own work for accuracy and completeness.
Administration and maintenance of documents/data to ensure swift and accurate traceability, together with the use of all relevant departmental systems.
Resolving and prioritising queries in a timely and professional manner.
What BAE Systems are looking for, from you:
Considerable experience of providing secretarial support to a Senior Manager, or significant experience of providing an administrative service.
An understanding of how to deal with Confidential Information/Issues and how to store appropriately.
Developed administrative skills including:- ability to collate data and produce professional presentation material including reports, papers and visualisation boards.
- establishment and maintenance of information systems, including physical and electronic files.
- transcribe dictated or written materials, take minutes at meetings and or attend and participate when required.
A good working knowledge of Microsoft experience.
Security Requirements: SC, UK EYES ONLY & ITAR
This role will require the person to hold full Security Clearance (SC) prior to working onsite. You will need to obtain a BPSS check as part of this process. You must currently hold or be eligible and willing to obtain SC. In addition, this role involves direct and/or indirect access to ITAR Material which means there are restriction. If you are unsure as to whether you are eligible, please contact me to discuss.
This role also requires you to be a sole British national.
The Umbrella rate quoted above is the Gross Umbrella rate (i.e. the rate we pay to the Umbrella Company inclusive of ALL employment costs). Please note, the rate paid by the Umbrella will be less, as will a Limited Deemed rate or Agency PAYE rate. Please get in touch to discuss the rates via these different payment vehicles
