Job overview
The post holder will be responsible for the day-to-day administration for the Cardiology department, including appointment bookings and maintaining waiting lists. This will involve taking responsibility for processing referrals and ensuring the accurate booking and recording of patient data.
You will be required to co-ordinate patient details and keep up to date information on the status of these patients ensuring they meet the 18-week referral to treatment guidelines. The post holder will also be required to provide other administrative support within Cardiology and the CTC as required to meet the demands of the service.
Main duties of the job
The post holder will take responsibility for:
1. Ensuring all referrals are received and accurately recorded.
2. Booking Rapid Access Chest Pain Clinic, organising clinic listings and maintaining clinic templates.
3. Co-ordinating the cath lab lists to ensure the smooth admission of elective and non-elective patients.
4. Accurately maintaining the EPR waiting lists according to RTT guidelines and updating the team regularly on the waiting times.
5. Booking patients into clinics and pre-assessments as required.
6. Sending and receiving inter-hospital transfers and arranging transport and/or interpreters.
7. Answering phone calls and emails and transferring to the appropriate professional.
8. Any other duties consistent with the post.
9. To work flexibly to provide adequate cover as determined by the service requirements.

Detailed job description and main responsibilities
Communication
1. Strong communication and IT skills and able to work on your own initiative as well as in a team.
2. Providing general information to other departments & trusts as required.
3. Maintaining patient confidentiality at all times.
4. Ensure patient information is maintained and updated on the appropriate patient information system.
5. Liaising as appropriate with nurses, consultants, and other PPCs.
6. Liaising with teams outside of the speciality.
7. Escalate service issues to the management team to enable action to be taken to avoid disruption to the service or a delay to patients in clinic.
Analytical and Planning
1. Work as an effective team member and on own initiative.
2. Input accurate data into the departmental information system.
3. Ensure that well-organised office and filing systems are maintained (both manual and electronic) so that information is kept up to date.
4. Appropriately deal with telephone enquiries.
5. Prioritising clinically urgent patients when appropriate.

4. Prepare patient documentation correctly if required.
5. Ensure patient records are maintained and stored securely and confidentiality is adhered to ensure patient confidentiality is maintained at all times according to Trust policy i.e. GDPR Prepare and maintain up to date, tidy patient documentation.
6. To ensure that medical records are requested and returned within appropriate timeframes.
Person specification
Qualifications
* GCSE English & Maths or equivalent.
* Administration or typing qualification.
Experience
* Previous administrative experience.
* Previous NHS experience.
* Knowledge of RTT.
