We are currently recruiting an Executive Assistant based at our office in Lutterworth.
As Executive Assistant you will provide a comprehensive support service to the PAD Chief Operating Officer (COO), the PAD Chief Financial Officer (CFO) and the UK Senior Leadership Team (SLT). Management and oversight of the Office Coordinator and associated duties.
This is a full-time role working 37.5 hours per week, Monday to Friday. Hybrid working options available.

Responsibilities include:
• Extensive diary management: arrange meetings, manage and update diaries as required.
• Make travel arrangements for the COO, CFO and the SLT (including travel, itineraries, accommodation, and visas where necessary) and visitors.
• Expense management for the COO and CFO.
• Responsible for Click Travel / travel booking systems.
• Control communications channels (i.e. incoming and outgoing mail and phone calls) for the Executive Team.
• Collate and create monthly reports and similar documents to support senior managers and SLT meetings.
• Provide minute taking support services and send out post-meeting action points.
• Maintain an outstanding administration support service, ensuring processes are streamlined and efficient.
• Ensure security and cleaning outsourced services deliver to the agreed SLAs.
• Create and maintain appropriate administration systems to support the SLT (e.g. company credit cards).
• Supporting the marketing team with specific campaign initiatives, including events and internal communications.
• Oversight and management of the Office Coordinator and associated duties, ensuring cover for breaks and holidays.
• Be a H&S representative and Fire Warden for the UK Head Office.
The ideal candidate will have/be:
• Must have proven experience as an Executive Assistant/Senior Administrator supporting a Managing Director or CEO.
• Knowledge of MS Office applications including Excel, Word, PowerPoint, and Outlook.
• Knowledge of preparation and typing of reports and letters to a high standard.
• Experience of documentation preparation for meetings to include agendas and meeting packs.
• Experience of inbox management at Executive level.
• Knowledge of managing incoming written correspondence.
• Supervision and/ore oversight of admin related team members.
• Professional approach with the ability to work on own initiative.
