We are looking for a Fleet Compliance Administrator - planning and defects - to join our dynamic team. In this professional, challenging, and exciting role, you will be responsible for administering scheduled and unscheduled events for a fleet of commercial vehicles, ensuring compliance with DVSA and UK law. You will liaise with internal departments, customers, and repair agents to deliver world-class service levels in a very busy environment.
Key Responsibilities:
1. Fleet Management: Utilise network resources to deliver cost-effective scheduling, minimizing fleet downtime.
2. Documentation: Use in-house fleet systems to document and control work accurately and professionally.
3. Compliance: Work within the planning team to ensure statutory compliance and liaise with customers, external contractors, and government agencies to ensure full O Licence compliance.
4. Recharge Process: Manage the recharge process in line with customer requirements.
5. Customer Relationships: Develop professional relationships with Zenith customers, being mindful of their service contract obligations and operating requirements.
6. Service Coordination: Work closely with external service providers to prioritize scheduled and non-scheduled slots, adhere to the maintenance plan, and minimize VORs and downtime.
7. Compliance Events: Process all required compliance events in line with the yearly planner.
8. Reporting: Ensure MOT first-time pass rates and final pass rates are recorded, produce daily VOR data, weekly slippage reports, and monthly compliance data.
9. Documentation Management: Obtain and supply relevant paperwork within 48 hours of work completion, keeping accurate paper and electronic records.
10. Process Improvement: Collaborate with the Team Leader, Customer Service Manager, and Network team to improve processes, functions, or communications.
11. Query Management: Handle customer queries and escalate to the appropriate team members as necessary.
What We're Looking For:
1. Ability to work under pressure while maintaining accuracy and meeting service levels.
2. Strong attention to detail and excellent IT skills, including proficiency in Excel.
3. Organizational skills with the ability to self-manage.
4. Strong communication skills and ability to build professional relationships.
5. Experience in fleet management or a related field is preferred.
