This is an exciting opportunity for an organised and motivated individual to join our Outpatient clinic co-ordinator team within Bristol Haematology and Oncology Centre.
Within the Patient Services Team, these teams provide front line customer service to patients attending the hospital for Cancer treatment or management of blood disorders, as well as an office based function recording patient attendance and booking outpatient appointments.
The Clinic Co-ordinator role will provide day to day management of the outpatient clinics, new patient referrals, and outpatient waiting list.. The successful applicant will be forward thinking, highly motivated and patient focussed, with demonstrable organisational and time management skills. They will work alongside other clinic coordinators, chemotherapy booking coordinators, medical secretary's, and the clerical officers, to ensure service provision and excellent customer service.

Communication:
1. To support the triaging of referrals by liaising with key clinical staff
2. Manage patient communications both via telephone and through Trust systems to create letters, emails and text reminders
3. To act as a point of contact for queries from clinical and non-clinical staff
4. Liaise with clinical and non-clinical teams across the Trust via telephone and email
5. Escalate patient queries, capacity problems and general issues to the role’s line manager or relevant clinical staff as appropriate
6. Communicate changes to clinics and appointments to patients as instructed, often at short notice
Patient Care:
7. To show a caring and professional approach towards patients, relatives and carers. This may require acting with resilience to deal with sometimes distressed patients and relatives in a professional and empathetic manner
Organising and Planning:
8. Implement the policy for patients who do not attend (DNA) their appointment
9. To manage and monitor all outstanding appointment requests through the Trust’s Patient Administration System (PAS) and escalate any issues immediately to your manager
10. Ensure clinic lists are effectively utilised in discussion with the appropriate clinician and manager, and rebook any cancelled appointment slots
11. Attend appropriate meetings as required by the role’s line manager
Service Development and Research:
12. Attend training courses as required to support personal development and the needs of the service
13. Assist in training of new members of the team
