Job overview
The Estates & Facilities division oversees and provides a wide range of estates & Facilities services to both United Lincolnshire Teaching Hospitals NHS Trust and Lincolnshire Community Healthcare NHS Trust under the group working model. The Deputy Directors of Estates and & Facilities are looking for a motivated and well organised individual who can support them in the delivery of their duties.
This role is subject to a deferment, candidates will start no earlier than July 2025.
Main duties of the job
The successful candidate will be enthusiastic, have a passion and desire to be the best. You will often be expected to act discreetly, using your own judgement and initiative when dealing with private, confidential or sensitive information. You will be someone who can learn systems quickly and be efficient in their use. Full training on systems will be provided.
* To provide comprehensive, effective and confidential PA support to the Deputy Directors of Estates & Facilities.
* To provide business administration to the Estates & Facilities Division in its approach to achieving its objectives.
* To develop effective working relations across Lincolnshire Community Hospitals group.
* To highlight and monitor changing priorities throughout the day and keep the Team updated.
Person specification
Qualifications
* RSA III word processing qualification or equivalent.
* Recognised advanced Personal Secretarial qualification.
* ECDL.
* Ability to write shorthand to a minimum speed of 80 wpm.
* Experience of using PAS.
Experience
* Experience of working at PA level for a Senior Manager.
* Experience of servicing meetings, preparing agendas, attending meetings and taking and recording minutes.
* Previous NHS experience.
Knowledge, Skills and Aptitudes
* Proven secretarial skills, including word processing, audio and copy typing to a speed of 50 wpm.
* Ability to use a variety of Microsoft software packages.
* Ability to prioritise work effectively in order to meet deadlines.
* Good communication skills (both written and verbal).
