The successful candidate will work to provide administrative support to the Undergraduate Medical Education Team to ensure that our medical students based at UHL are fully supported and provided with the best experience possible.
The successful candidate will be highly motivated, demonstrate a pleasant and professional manner when dealing with medical students and staff alike, be highly organised, quick to learn, and able to work under pressure and independently with minimal supervision. Main duties of the job
This role (26.25 hours) will ideally be worked over 5 days (Monday-Friday) - 4 days is the minimum.
You will be required to work across the three main hospital sites on a rota.
This Trust wide post will provide general assistance to the Undergraduate Coordinators and Undergraduate Manager.
The post holder will ensure the efficient use of facilities and resources and will aid the provision of undergraduate education, including room bookings, audio visual aids, catering and assisting with regular student induction and examinations. The post holder will also assist in the end of year medical student examinations which take place at Leicester Medical School.

The main working relationships that the post holder will be required to develop include:

* UHL Consultants, Resident Doctors and other facilitators
* Health Education England (HEE) across the East Midlands
* General Medical Council (GMC)
* Estates Personnel, such as Portering Service, Domestic Service and Catering Service
To undertake general administrative duties as required by the Undergraduate Coordinators and Junior Undergraduate Coordinator, as well as the Undergraduate Medical Education Manager.
To receive, maintain and update Centre room bookings on the electronic booking system.
To confirm all bookings as necessary in accordance with the Clinical Education Centre access policy.
To ensure that rooms are prepared and maintained for Undergraduate Medical Education Teaching. This may include basic cleaning, rearranging and general tidying up.
To provide administrative support to the Junior Undergraduate Coordinators, Undergraduate Coordinators, and Undergraduate Block Leads within UHL.
To assist the Undergraduate Medical Education Manager in the daily operation of the Undergraduate Teaching rooms.
Responsible for providing access to Education rooms, ensuring all equipment is available and in good working order as per the CEC Standards.
Provide support with AV equipment as required.
Assist with supporting education in a virtual environment.
Ensure signage around the Undergraduate Education Centres are up-to-date.
To assist the Undergraduate Coordinators with the organisation of Medical Student attendance at planned teaching sessions cross site.
To record and monitor Medical Student attendance at induction and planned teaching sessions and maintain a record of such.
Assist in invigilating in formative and summative examinations.
To assist in the non-medical care of patient volunteers at examinations.
To oversee the Doctors Mess subscriptions for medical students and resident doctors.
To assist in the organisation of visits and meetings as required.

Person Specification
Training and Qualifications
* RSA Typing Grade II or equivalent (Good Keyboard Skills)
* GCSE Mathematics and English Grade C or above
* NVQ Level 2 in Administration or Business
* NVQ Level 3 in Administration or Business
Experience
* Minimum of two years secretarial or administrative experience
* Experience of working in a busy office environment
* Experience of Microsoft Office including Word, Excel, Publisher, Outlook and Powerpoint
* Experience of working within NHS environment
* Good IT skills/experience of setting up AV/IT equipment
* Quick to learn
