Main Functions:
* Ensure contractors adhere to contract terms and conditions.
* Timely placement of Purchase Orders to support production work, ensuring compliance with corporate controls.
* Track contractor progress and facilitate compliance with company systems and controls.
* Oversee administration and performance of service contracts, ensuring accurate payments and identifying anomalies.
* Advise on contract risks, support gap closure, and identify improvement opportunities.
Key Responsibilities:
* Create and amend service entries and requests in the company’s SAP system.
* Daily liaison with Contractor Representatives to address issues related to purchase orders and invoice payments.
* Foster positive relations between contractors and company representatives, facilitating issue resolution.
* Maintain critical contractual documentation and monitor contract status, spend, and invoice payments.
* Ensure effective contract administration through records management and compliance with procurement and business requirements.
* Support Accounts Payable as needed and direct contractors to relevant resources for compliance and safe practices.
* Collaborate with Contract Administrator to identify contract efficiency improvements and conduct performance reviews.
* Ensure compliance with safety standards and company policies, reporting incidents and hazards promptly.
* Report contractor performance and compliance with operational standards.
Skills and Qualifications:
* Proficiency in Microsoft Excel and SAP, or similar maintenance management tools.
* Experience in contract administration within a large corporation or complex organizational setting.
* Familiarity with engaging contractors in developing country environments.
* Strong understanding of procurement controls, reporting, and compliance.
* Knowledge of local commercial environments and regulatory frameworks.
* Excellent communication, organizational, and analytical skills.
* Ability to work independently in multicultural settings.
Specific Job Requirements:
* Administer vendor contracts to ensure continuous service delivery and compliance.
* Analyze existing contracts and make recommendations.
* Manage contract expiration dates and provide status reports to management.
* Coordinate with field personnel and Procurement on contract matters.
* Support Accounts Payable and contribute to contract renewal and award processes.
