The Operational Support Manager will be responsible for the day-to-day supervision and management of the CDS Administration Team and Designed to Smile (D2S) Healthcare Support Workers (HCSW).
This role involves working autonomously, using initiative to resolve issues related to CDS/D2S, following guidance and procedures, and escalating concerns to the Operational Manager or appropriate clinician as needed.
Main duties of the job
1. Investigate queries or issues, make judgments on their resolution, and escalate when appropriate.
2. Ensure all Service Level Agreements, Policies, and Procedures are current and that processes are in place to track and highlight issues to the Business Manager.
3. Support rostering and planning processes in coordination with the Operations Manager.
4. Respond to information requests promptly, including compliance with Freedom of Information requests.
5. Contribute to service development, suggest improvements, and discuss changes with colleagues.
6. Attend service meetings, representing the administrative function, and contribute to organizational objectives.

Detailed job description and main responsibilities
Adhere to the Health Board’s record-keeping guidelines, maintain confidentiality, and contribute to service improvements. Deputize for the Operations Manager at meetings, coordinate and prepare for meetings, and manage patient systems ensuring processes are followed. Investigate issues and complaints, source information, and provide solutions. Support the delivery of the Community Dental Service and Designed to Smile Programme, coordinating activities with stakeholders to ensure efficient service delivery.

* Degree-level qualification or equivalent experience
* Proficiency in IT software including Word, Excel, PowerPoint, Email, and Internet
* Ability to analyze data and present reports
* Experience with Welsh Clinical Portal (WCP) and Welsh Patient Administration Services (WPAS)
