Job summary
We require a hardworking and enthusiastic person to join our friendly team of Clinic Coordinators in General Surgery.
You will be responsible for booking patient appointments in an outpatient clinic setting and ensuring that all clinical activity is recorded accurately. Excellent organisational and interpersonal skills will be required for this post, as you will be expected to communicate well with all levels of staff as well as patients and other service providers.
There may also be a requirement for you to cover the reception area for short periods, on limited occasions.
Main duties of the job
Assist with the effective management of patient pathways and clinic management by ensuring that all necessary outpatient appointments are arranged on time, ensuring that all clinics are utilised to capacity, diagnostic procedures and tests are processed as requested and that patients receive timely treatment, thus meeting Trust and national standards as required.
Deal with enquiries on behalf of the Clinical Teams, either by telephone, personal contact or correspondence, within agreed limits, and take appropriate action.

Job responsibilities
Main Duties and Responsibilities
Assist with the coordination of clinics to ensure effective time management, including liaising with Consultants and Administration & Clinical Management to ensure staff and room availability.
Assist with ensuring all relevant databases and patient information systems are up to date.
Prepare case note folders and complete necessary documentation for all new patients.
Ensure patients notes are correctly completed with the patient details.
Ensure all correspondence and documentation is filed promptly and cross reference whenever necessary.
Ensure that relevant health records are available to the Clinical Team when required and anticipate demand wherever possible.
Assist and actively participate in the process of patient tracking, including booking all necessary appointments, chasing results, monitoring waiting lists and ensuring that patients receive timely treatment up to the point of discharge, when required.
Prepare and collate statistical information as required and input to database if appropriate, in conjunction with Trust requirements.
Provide general administrative services including photocopying, filing and other office routines.
Receive and sort daily post, date stamp and distribute as appropriate.
Liaise with other Trust departments, GPs and other health care agencies, when required.
Assist and help colleagues when the need arises.
Provide cross-cover within administration team during absence, including on limited occasions covering Reception.
Follow relevant organisational policies such as notification of sickness absence and participation in individual appraisal.
