This is a great opportunity for an assistant administrator to join our friendly and dynamic East Norfolk Community Learning Disability Team (CLDT).
We are looking for an enthusiastic administrative assistant to join our small integrated health and social care team based in Great Yarmouth. You will be carrying out a variety of administrative tasks to ensure the smooth running of the office and to support the team's overall effectiveness.
The role will require travel to and working in the team office, but with some remote working from home possible as well.
Main Duties of the Job
1. Accessing various databases, systems, and IT programs to record information, including confidential information.
2. Answering the phone to callers, who may have a learning disability, their families or carers, and promptly dealing with their enquiries.
3. Managing incoming and outgoing post, either via royal mail or e-mail.
4. Dealing with any callers to the office, who may have a learning disability, and dealing promptly with their enquiries.
5. General administrative duties, such as photocopying, typing letters, and using health and social care IT and telephony software programs.
6. Working within the supervision of a Senior Administrator to support the Multi Disciplinary Team.

The Community Learning Disabilities Service has 5 integrated health and social care teams throughout Norfolk who support adults with a learning disability and their family carers. The Team is based at Havenbridge House in Great Yarmouth.

Job Responsibilities
* Using a range of software programs to produce, maintain and distribute documents, including reports, spreadsheets, databases, and presentations, which may include regularly dealing with matters of a complex and/or distressing nature.
* Photocopying, scanning, emailing, distributing, filing, and organising letters, reports, and other correspondence promptly and efficiently, ensuring that all staff and patient records, files and filing lists are maintained and kept up to date.
* Collecting, opening, date-stamping, sorting, and distributing incoming mail, relating it to previous correspondence as appropriate and ensuring that outgoing post is sent in a timely manner.
* Researching appropriate websites, downloading, and circulating documents, as requested.
* Dealing appropriately with all telephone enquiries and face-to-face patient contact, which may on occasion be upsetting.
Person Specification
Qualifications
* Maths and English GCSE (Grade C or above), or equivalent.
* NVQ Level 2 in Business Administration or equivalent.
* Shorthand.
* NVQ level 3 in Business Administration.
Experience
* Administration experience in a busy office environment.
* Experience working as part of a team.
Skills, Abilities and Knowledge
* Good working knowledge of Microsoft Office, especially Word, Excel, and Outlook.
* Good organisational skills.
* Proven ability to work on own initiative, without direct supervision, prioritising and managing own workload.
* Articulate, calm, polite, and well-motivated, with a positive attitude to customer care.
* Good Keyboard and IT skills.
* Knowledge of NHS ordering systems.
* Knowledge of Liquid Logic.
