The post holder will deliver all aspects of work to service standards for SystmOne tasks, medical reports, medico-legal requests, safeguarding referrals, and administration of all activities related to the work of the referrals administration/secretary team. In addition, the post holder will be the first line manager for team performance, team work rosters, and absence management with support from the Practice Management Team and will form part of the Administrator Senior Team for monthly updates and reviews on all matters related to practice service delivery. The post-holder will work closely, and under the direction of, their Line Manager to improve standards across a wide range of referrals administrative activity.
Key Responsibilities
1. Achieving service levels for all activity under the remit of the Secretarial Team.
2. Management of all day-to-day processes and systems for the team to ensure adequate cover for all aspects of work within the team.
3. Maintaining an effective team through supervision, training, and line management.
4. Contributing to the workload as required when management responsibilities are not needed.
5. Networking with the broader Senior Clerk Teams and linking procedures and processes to the broader Practice for improved efficiencies.
6. Managing data quality issues and service level activities for the team, providing individual and team support and guidance as necessary.
7. Being highly knowledgeable with all functions of the clinical system and their applications plus national and local quality standards for primary care.
8. Understanding Quality Outcomes, CQC requirements from the team they lead, and other systems related to referrals administration.
9. Assisting in the implementation of various statutory requirements as directed by Practice Management.
10. Providing support, advice, and training for current and new staff in the use of the Clinical System and non-clinical processes to ensure that all aspects of work meet required service standards.
11. Ensuring all staff receive adequate annual appraisals and reviews.
12. Validating patient information, performing regular checks, and quality audits.
13. Assisting in the recruitment and selection of Team members as required.
14. Once competency has been signed-off by the Manager, providing training to carry out performance reviews, appraisals, and inductions for appropriate members of staff, encouraging further professional development, and providing necessary training opportunities.
15. Logging health and safety, compliance, and building maintenance issues, reporting such to the organization responsible for maintenance, and monitoring for completion of works.
16. Any other duties as may be determined by the Practice Management Team and Partners.
