The Validation Executive works towards minimising both contractual and commercial risk to Reed in Partnership ensuring through effective business partnering, collaboration and monitoring, that Operational teams and the business overall adheres to the requirements of its contracts and any associated guidance. This role supports all activities relating to Validation, audits, inspections, and contract compliance. A Validation Executive will strictly adhere to the guidelines in accordance with the programme’s requirements and Reed in Partnership’s policies and procedures. This is not intended to be an exhaustive list and as such you will be expected to carry out any other duties that may be specified by the Validation Team Leader from time to time. This job description is non-contractual. The role will also provide administrative and project assistance to the Validation Team Leader and the wider Risk Management Department when required ; will support all activities relating to audits and inspections; and will include coaching, advising, and guiding front line staff on validation process and systems usage. Just some of your day-to-day responsibilities will include Answering queries and explaining process to all staff, in line with agreed guidance and process manuals, ensuring mutual understanding and agreement to proposed actions. Ensuring the Validation Assistants/Operations are kept up to date with guidance changes Coaching support with front line delivery staff where necessary. To support, as directed by the Validation Team Leader, some activities relating paperwork validation To support, as directed by the Validation Team Leader, all activities regarding external audits by carrying out monthly check the checkers against the Validation Assistants performance and reporting any issues where necessary to the Validation Team Manager To provide, as directed by the Validation Team Leader, team meetings, kick-off meetings etc, cross referring to the Company’s process manual, ensuring all stakeholders are strongly adhere to the quality standards set by the organisations To ensure that the company conforms to the key items of contractual compliance/Validation and housekeeping best practice. To ensure that the practices outlined in the process and validation manuals are applied in a manner consistent with other regional operations and support teams To interrogate centrally produced management information and disseminate required actions and recommended activity to Operational and Support Teams To manage and support business requirements to drive performance and income where To build relationships across other functions of the business and support with maximising performance and income with areas that are outside the normal validation requirements To work with the Validation Team Leader to identify efficiencies through guidance and system processes To support with external audit extrapolation reports to ensure evidence is compliant and deadlines are met To support, as directed by the Validation Team Leader and Executive the processing of Data Amendment Requests (DARs). To work with the Validation Team Leader and Manager to identify efficiencies through guidance and system processes To support the maintenance and development of the company's business systems for managing the Participant’s journey. To work with operational management on the development and maintenance of the company’s processes and controls for Skills and Business Support contracts, ensuring where appropriate, that ESF rules are adhered to. To be successful in this role, we are looking for someone with: Essential Criteria: Demonstrable experience of being able to absorb complex information quickly and present it in a way that can be understood by all levels within the business. Demonstrable experience of management of projects and/or people. Exemplary written and verbal communication skills. Intermediate to advanced knowledge of excel; and intermediate knowledge of other Office packages. Able to work in an environment where multiple projects operate in tandem Demonstrates a high level of business and commercial awareness. Shows exceptional time keeping and organisational skills including the ability to work to deadlines. Demonstrable experience of production of high quality presentations to customers and internal senior management. Desirable Attainments: Experience of working in the welfare to work sector Previous experience of working in a validation function including experience of contributing to the design and training of process manuals through the interrogation of contractual guidance and operational working methods Experience of data management.
