This position will provide direct administrative support to the MD and CD, work closely with the Finance Director to ensure the smooth operation of all finance matters, and oversee office operations for a highly driven team.

This role is office-based and responsible for all EA duties and administrative tasks related to the management of the Managing Director and Creative Director.
KEY RESPONSIBILITIES:
1. Provide comprehensive diary management for the Managing Director and Creative Director, scheduling meetings, appointments, and travel arrangements.
2. Coordinate internal and external communications on behalf of the Directors, including email correspondence, meeting agendas, presentations, and reports.
3. Run errands, manage supplies, and all relevant vendor relations.
4. Problem-solve any technical challenges with computer systems, email, and networks as needed, working alongside external IT support.
5. Assist with the coordination of the hiring of interns.
6. Ad-hoc updates to the employee handbook and associated organisational policies and procedures in line with HR approval.
7. Collate and file expenses to ensure budgets are adhered to, working directly with the Finance team for the MD and Creative Director.
8. Book and arrange travel, transport, and accommodation.
9. Assist where required on special projects, including events, photoshoots, fashion shows, and collaborations.
10. Support the team during collection launches, seasonal campaigns, and other high-priority initiatives.
11. Implement and maintain procedures/administrative systems for the studio.
12. Liaise with external parties to support the maintenance of the studio; cleaning company, contractors, building management, and security.
13. Ensure Health and Safety compliance is implemented and updated as and when required.
14. Perform receptionist duties: answering the door, taking messages, filing mail processing, and maintaining office cleanliness.
REQUIRED COMPETENCIES, SKILLS, KNOWLEDGE & ABILITIES:
1. Experience in office management and interacting with executives.
2. Must be highly organised with the ability to handle multiple priorities at once.
3. A high sense of urgency, timeliness, and follow-through.
4. Must have strong verbal and written communication skills.
5. Must be a collaborative, team player with great initiative and ability to lead a team.
6. Superior judgment, professionalism, poise, and ability to maintain the highest level of assertiveness.
7. Discretion and confidentiality are essential attributes required for this role.
8. Excellent ability to maintain composure and effectiveness in a fast-paced environment.
9. Superior follow-through skills, detail-oriented, and customer service-oriented. Must be intuitive, able to anticipate needs and develop options.
10. Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
