Fulfilment Coordinator - Job Description
This is a Fixed Term Contract / Maternity Leave Cover
Part time: 3-4 days a week, (flexible hours considered e.g. can be 3 days over 4 or 4 over 5). This is an in person role at our Despatch HQ near Canterbury in Kent.
A key role within the Logistics and Fulfilment function, the Fulfilment Coordinator is the lynchpin to this crucial area of the business. This role combines Operations, Logistics and Inventory Management to deliver exceptional fulfilment processes across the D2C and B2B customer community.
The Role
Logistics Coordination
* Coordinate inbound and outbound logistics with suppliers, transport companies, and customers.
* Update Costs for incoming purchase orders.
* Ensure timely delivery and distribution of goods.
* Manage day-to-day relationships with B2B Customers and carriers.
Operations Coordination
* Oversee daily warehouse operations, including receiving, storing, inventory management, and dispatching goods.
* Monitor inventory levels and implement effective inventory control measures - Stock takes + cycle counts.
* Implement and improve standard operating procedures to enhance operational efficiency.
* Order Fulfillment: Accurate and timely processing, picking, packing, and delivery of all online/B2C customer orders, returns, and exchanges.
* Ensuring packaging requirements are met.
* Maintain a safe and organised work environment, adhering to health and safety regulations.
* Coordinating people/rotas & tasks.
Inventory Control
* Monitor inventory levels and perform regular stock checks.
* Implement inventory control procedures to minimize discrepancies.
* Manage DC consumables (packaging, labels, stationary etc.) and place orders in timely manner.
* Update stock levels on partner sites.
* Manage the out of stock, pre order & assembly items process.
Systems Management
* Manage warehouse management systems (Netsuite) and other relevant technologies.
* Ensure accurate data entry.
* Accountable for ensuring engraving machine is working to fit demand of business.
Reporting
* Maintain accurate and up-to-date studio report.
* Manage Wholesale order dispatches.
Customer Happiness
* Liaise with customer service to ensure their requirements are met.
* Handle support tickets effectively and in a timely manner.
* Customer Journey: Strive to achieve 10/10 Customer Experience with prompt processing and delivery, accurate picking, and beautiful, sustainable packaging.
This role would suit someone…..
* With at least 3-5 years experience in a similar role for a SME / independent brand - ideally but not limited to the affordable luxury fashion or jewellery sector.
* Experience in administration in any stock room or warehouse environment, or with wholesale or merchandising assistant experience.
* Working with the Head of Merchandising to manage the stock levels across the business - including the full goods in & goods out process. Experience of a similar setup is desirable.
* The right person will be super organised enabling them to juggle multiple priorities at once.
* They will be able to confidently suggest & implement new & improved processes.
* They will be proficient in excel & have experience using different EPOS & WMS systems.
* They will be able to look ahead & make decisions & recommendations based on what is coming up.
* They will work well with others, with a strong 'can do' attitude.
* They will be methodical and in the data.
