Job Description
Overview: The Head of Operations (Young Learners) provides leadership, operational direction and commercial support to the team, taking responsibility and ownership for its performance as directed by the Director of Global Operations.
The department comprises three distinct streams:
* BSC Young Learner Winter and Summer Residential Programmes
* Year-round Young Learner Groups
* Manchester City Football Language, Performance and Development programmes
Providing direction across all areas, the Head of Operations will work with the wider BSC group with the aim of maximising expertise across the organisation in order to achieve its business and educational goals.
The Head’s responsibility for the three key products includes the successful operational delivery of the seasonal residential young learner programmes, the premium Football Education programmes delivered in partnership with Manchester City, and any year-round Young Learner groups being delivered in the UK and overseas.
Responsibilities
Operational & Administrative Management
Responsibility for ensuring the smooth running of all BSC Young Learner Locations, specifically:
* Reviewing working practices within each Young Learner business stream to ensure operational efficiency
* Supporting the effective management of the department’s financial administration. This includes the maintenance of effective financial controls to ensure agreed budgets are adhered to
* Responsibility for actively monitoring student numbers in each location and ensuring all space is effectively optimised
* Support in the compilation of the annual Prospectus and Price List, ensuring all products are appropriately researched and costed
* Approving purchase orders / invoices in line with delegation of authority matrix and approved expenditure levels
* Working with the Director of Global Operations to ensure that any objectives identified as part of the annual business plan process are met
* Building enduring relationships with key partners and internal support functions
* Ensuring the timely and accurate delivery of reports as required by the business or requested by the Board
* Evaluating the programmes offered within the Young Learner portfolio to ensure they contribute to the overall strategic and commercial goals of the business
* Support the development of new products to maintain the Group’s position as a leading provider of Young Learner language education products
* Utilising all BSC systems effectively in line with company standards (e.g., Student Management System, HR& People system etc)
* Assisting with the payroll system and responding to pay queries
Student Experience
Responsibility for ensuring that all students have a first-class experience, with a focus on all service touch points including:
* Ensuring that each student service touchpoint is considered, with a clear point of differentiation delivered at each stage
* Instilling a culture of continual service improvement to ensure BSC provides a clear market differentiation in relation to customer service delivery
* Monitoring and actioning all service-related feedback
Centre Oversight
* Ensuring consistency and standardisation of programmes across the portfolio
* Ensuring centres have enough resources, team and support during centre operations
* Financial oversight of all centres, providing training and support prior to and throughout programmes
* Maintaining financial rigour and oversight of site usage
* Ensuring all centre costs are fully justified, agreed with host centre and invoiced correctly as per contractual terms
* Course monitoring through course and team evaluation, reporting, and regular site visits.
Centre Training
* Delivering CPD and relevant training to temporary management teams throughout the year
* Coordinating Fidelo School Management System training for non-academic teams
* Delivering training for the Young Learner activity programmes and pastoral care
* Supporting the temporary operations team in the planning and delivery of centre management training
Brand, Marketing & External Communications
Ensuring that the department operates effectively as a member of the BSC Education group, taking maximum advantage of the market opportunities and development potential available, specifically:
* Working with the Commercial and Marketing teams to identify and optimise commercial opportunities
* Hosting familiarisation trips, and acting as the ‘face’ of Young Learner operations
* Keeping up to date with market activities and competition
* Ensuring all BSC Young Learner teams are operating within the brand guidelines
* Responsibility for ensuring the provision of a high level of support to the BSC central marketing team to maximise student bookings
* Supporting direct marketing activity in order to maximise direct non-agent bookings
* Working with the Admissions and Direct Sales teams to ensure optimal product knowledge to aid conversion
* Manage all accreditation processes related to BSC YL’s
Facilities & Resources Management
Overall responsibility for management of the department’s facilities and resources within the limitations of agreed budgets, specifically:
* In conjunction with the Director of Global Operations, plan and source appropriate accommodation to meet student demand
* Ensuring appropriate resources are purchased in the most cost-effective way
Academic Management
Effective management and support of the academic team, specifically:
* Responsibility for ensuring teaching costs are managed within budgeted costs at each location
* Ensuring the academic content is reviewed with the Group Academic team and delivered as appropriate
Team Management
Supporting the recruitment strategy for the Young Learners teams, specifically:
* Responsible for the appointment of Senior team members and ensuring ongoing team development
* Ensuring direct reports receive regular job chats, 1:1’s, appraisals and development opportunities in line with BSC policies
Safeguarding
Maintaining the Safeguarding & Compliance process to ensure that BSC Young Learners meets and exceeds all regulatory requirements and best practice in relation to these areas, specifically:
* Responsibility for ensuring all internal and external (local legislation, authorities and accrediting bodies) compliance requirements are met, with accreditation of the highest level obtained on inspection
* Accountability for serious incident reporting for all matters regarding material loss, damage or theft of any assets under the permanent or temporary control of BSC
* To promote and safeguard the welfare of children and young persons you are responsible for and come into contact with
* To adhere to the BSC Young Learners safeguarding policy, ensuring it is followed by centre teams at all times
* To be a Designated Safeguarding Lead for all Young Learner operations
