The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of inbound and outbound mail, administrative work, and general clerical support).
Responsibilities
1. Manage the reception area and welcome guests
2. Respond to delegates requirements throughout their event
3. Maintain the booking register and define rates
4. Organize the staff rota
5. Be responsible for the petty cash spreadsheet & float
6. Producing sales and purchase invoices
7. Take online payments
8. Liaise with the accounts and management team to ensure all invoices and payments are made on time
9. Placing and managing orders with suppliers
10. Setting up meeting rooms
11. Carrying, moving and storing equipment
12. Develop and agree advertising campaigns with the trustees
13. Manage timesheets and holiday entitlement for staff
14. Employ and manage additional part-time staff when bookings dictate
15. Maintain a professional relationship with new and existing customers
16. Arrange weekly fire alarm testing
17. Recover aged debt
18. Liaise with the site manager for repairs and maintenance
19. Maximize marketing of the facility
20. Many other administrative tasks to ensure the smooth running of the Business Centre
Personal Specification
1. You must be a confident person who is computer literate with experience in word
2. Experience of bookkeeping and accounting software systems such as Sage and Excel will be beneficial but not essential
3. Motivated, highly organized with demonstrable supervisory skills
4. Flexibility and the ability to work at short notice will be required to assist with the fluctuating business
5. The role can be very demanding so good interpersonal skills and organization is required
6. Excellent telephone manner
7. Honest and trustworthy
8. Able to coordinate and manage the team
9. Have a professional attitude with all clients
