UK Defence & Security Exports (UKDSE) in the Department for Business and Trade (DBT) is responsible for working with the UK’s defence and security sector to achieve export success and drive inward investment. The team works closely across Whitehall to deliver strong and coherent government support to industry. The UK is a leading defence and security exporter and building on our existing prominence in world markets is a priority for this government.
We are seeking a talented and enthusiastic candidate to join the UKDSE team as Personal Assistant to one of the Deputy Directors. The role is a vital link to the Deputy Director, managing and coordinating their time to deliver an effective programme of internal and external departmental duties and stakeholder engagements.
As Personal Assistant to one of the UKDSE Deputy Directors you will have an exciting opportunity to work to join a busy team at the heart of the organisation, working closely with the UKDSE Senior Management team, external stakeholders and officials within the department.
You will play a pivotal role in ensuring the UKDSE Deputy Director makes effective use of their time by:
* Ensuring efficient and effective use of the Deputy Director’s time, responding to last minute changes and accommodating unexpected, urgent requests
* Understanding meeting priorities and dealing with clashes, organising deputies where necessary
* Managing the Deputy Director's mailbox, preparing meeting papers, obtaining background papers, briefing notes etc
* Ensuring the Deputy Director has the correct advice and briefings for meetings
* Making national and international travel and accommodation bookings that adhere to departmental policies, take account of value for money and keeping account of financial spend from trips taken and file expenses.
* Organising and setting agendas for internal Team meetings
* Providing administrative support to the Deputy Director and the team including organising team meetings, bespoke event programmes when relevant
You may be required to pick up additional duties and small projects which may also include supporting key events depending on business needs.
