Job Purpose Under the direction of the Team Manager, to provide support to the Shared Lives Team in order to maintain a high quality service to customers and carers, as well as play a key role in the development of the service in line with departmental targets. Key Responsibilities To provide support to the Shared Lives team, with due regard to confidentiality and safeguarding. This will include regular communications with carers and customers. To act as a point of contact for customers, Shared Lives carers and others on Shared Lives business processes and Shared Lives operational service issues. To oversee information relating to finance, staffing, carers, customers and other service requirements. This will include producing reports and maintaining up to date lists and databases. This will also include gathering data and producing returns for CQC and stakeholders where required. To monitor and review scheme processes and systems to improve service delivery, communication systems and support systems, ensuring that the information held is accurate and of high quality. This will include a quality assurance function and the setting up and maintenance of a new audit function to ensure compliance with scheme policies and procedures and CQC To undertake a range of financial support processes, including processing orders, resolving issues, overseeing the Shared Lives payments and invoicing process and acting as a point of contact for carer queries. Responsible for coordinating meetings and events including booking venues, issuing invitations and supporting meetings. This will include large scale events as well as smaller scale events such as carer training. Responsible for setting up and coordinating the Shared Lives Approval Panel process, including developing systems for sharing information which are efficient and effective and facilitating the requests for references as part of this process. Responsible for working with the team and the scheme manager in relation to promotion and marketing of the scheme. To produce regular lines of communication in consultation with the scheme manager to carers, customers and stakeholders. Eg emails, bulletins, letters Where required, to produce written summaries of meetings and maintain these in line with current GDPR guidelines. Key Accountabilities Under the supervision of the Scheme Manager:- To ensure that correct systems are being followed and to alert the manager to ensure compliance. To ensure that corporate policies and financial regulations are adhered to. Work efficiently and effectively to support the Shared Lives Scheme. Person Specification Education and Knowledge Good literacy and numeracy skills to NVQ level 2 or equivalent Experience Experience of working in a busy office environment. Experience of data input and data management ensuring accuracy and confidentiality when required. Experienced and competent in using IT Experience of coordinating meetings and handling actions and outcomes Experience providing information to the public using good communication skills Experience of Shared Lives and the systems and processes required under the schemes policies and procedures Experience of providing detailed reports and information Personal skills and general competencies Puts into practice the Councils commitment to excellent customer care.
