Description
The Role
As Community Host you will take ownership of delivering a comprehensive Workplace service within the building, leveraging the Instant helpdesk and broader Workplace network. Provide support to the teams and assist the Community Manager in delivering seamless services in collaboration with service providers. Ensure the office environment and workplace services meet financial and quality standards, exceed customer expectations, and are continually improved. Act as the local "eyes and ears" for the Workplace team, highlighting areas for improvement or issues to the Community Manager. Promote a self-help ethos by ensuring all Workplace-related incidents are logged via the Instant FM/Here to Help Helpdesk. As a Community Host, you are also responsible for supporting the safety and security of all building and office users.
What will you be doing?
Strategy and Direction:
* Support the Community Manager in delivering business plans, policies, and initiatives locally.
* Identify and escalate improvements or issues with services like catering, reception, maintenance, and cleaning.
* Log and resolve issues promptly through the Helpdesk.
Service Delivery:
* Lead by example, ensuring team etiquette is maintained.
* Perform daily checks of communal areas, meeting rooms, and desks, addressing safety issues or escalating as needed.
* Manage meeting room schedules, reset rooms, arrange hospitality, and distribute mail.
* Coordinate kitchen and vending housekeeping, stationery purchasing, and contractor inductions.
Health & Safety:
* Support inductions, risk assessments, and monthly safety reporting.
* Act as a fire warden and first aider, submitting and investigating incidents and near misses.
* Assist with compliance tasks, cleaning audits, and signage updates.
Incident and Security Management:
* Manage security passes, report incidents, and support business continuity and escalation procedures.
* Ensure adherence to access control and safety protocols.
Relationship and Performance Management:
* Build relationships with stakeholders, attend meetings and training, and act as an escalation point for queries.
* Monitor and ensure compliance with SLAs, escalating issues as needed.
Environmental Initiatives:
* Promote waste and energy management best practices and support environmental objectives.
General:
* Ensure compliance with ISO and company policies while contributing to continuous improvement programmes.
