Your role will include reception duties and administration in a busy GP practice. The role is temporary covering for maternity leave. The role will commence as soon as possible and last until the end of February.
Main duties of the job
Greeting and booking patients in, making appointments, care navigation to more appropriate services. Liaising between GP's hospitals and patients regarding queries. Processing prescriptions, scanning, readcoding. Generally assisting the GP's and nurses to provide care for patients.
Job responsibilities
RECEPTION
1. Receiving patients, consulting with members of practice team.
2. Processing personal and telephone requests for appointments, telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
3. Register new patients, temporary residents and any requiring immediate and necessary treatment, carefully checking all details for accuracy and enter on computer registration link.
4. Taking messages and passing on information.
5. Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers.
6. Ensure that system is operational at the beginning of each day and switched over to night service and that the answer phone operational at the end of each day.
GENERAL ADMINISTRATION
1. Opening up/locking up of practice premises and maintaining security in accordance with practice protocols.
2. Processing and distributing incoming and outgoing mail.
3. Filing and retrieving paperwork.
4. Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedure.
5. Providing clerical assistance to practice staff as required, including word/data processing, filing, photocopying, and scanning.
6. Keeping the reception area, notice boards, leaflet etc. tidy and presentable.
7. Cover sickness/annual leave and work reasonable overtime when required, including some weekends.
8. Perform any other relevant and reasonable duties that may be requested by the lead receptionist, practice manager or partners.
9. Undertake statutory and mandatory training as required.
APPOINTMENT SYSTEM MANAGEMENT
1. Book/edit/cancel appointments and recalls ensuring sufficient information is recorded to retrieve medical record.
2. Monitor effectiveness of the system and report any problems or variations required.
3. Ensure records are kept neat and tidy and in good repair with all necessary information recorded correctly on the outer cover.
4. Processing repeat prescriptions in accordance with practice guidelines.
5. Handing completed repeat prescriptions to patient and checking names and addresses.
Person Specification
Experience
* Awareness of Data Protection Act and need for confidentiality of Information.
* Attention to detail, able to work accurately, identifying errors quickly and easily.
* Has a planned and organised approach with an ability to prioritise their own workload to meet strict deadlines.
* Excellent understanding of data protection and confidentiality issues.
* Excellent verbal and written communication skills with team members, patients, carers, and other healthcare professionals, with the ability to adjust communication style.
* Committed to own continuing personal development and an ability to support others to develop and progress.
* Experience of working in a medical or primary care setting.
* Ability to use the required GP clinical systems.
Qualifications
* GCSEs at grade C or equivalent (or 4-9), including English and Maths.
* Training in administration/clerical duties at NVQ level or above.
* NVQ Level 2/3 in Customer Services or Health Care or related discipline.
