Role overview:
DaVita (UK) Ltd is looking for a Facilities Coordinator to be part of a small team providing both administrative and operative support to clinics and other departments, either as part of a team or individually with relevant IT and organisational skills. The role is office based in our head office at Collier's wood with some travel to clinics.
Role requirement:
Operations
* Coordinating building repairs and maintenance tickets, allocating tasks to vendors and keeping accurate reports in the Facilities Management System
* Handling work orders and following up on maintenance requests
* Scheduling regular maintenance checks for equipment
* Maintaining health and safety compliance records
* Overseeing inventory for maintenance supplies and tools
* Reporting into the Facilities Manager (FM) and working to ensure the smooth running of the facilities
* Coordinating access (both Landlord’s areas and demised areas) for any planned essential works such as Planned Preventative Maintenance works.
* Supporting complaints management related to Facilities, any queries or accidents related to works going on in sites.
Reporting and administration
* Managing service contractors SLA’s (soft and hard FM) & escalate and non-compliance, in a timely manner
* Support Procurement related processes, ensure compliance with the DaVita policies and procedures
* Assisting the Facilities Manager with project planning and execution
* Supporting with correspondence & communication with clinics, contractors and/or key stakeholders for a smooth execution of required preventive and corrective tasks
* Support Procurement related processes, ensure compliance with the DaVita policies and procedures.
* Responsible for recording and maintaining relevant accurate information on all Facilities Services and Suppliers
* Provide administrative support to Facilities Manager, if required.
* Be the point of contact for the on-site Facilities Team in relation to all telephone enquiries, emails and letters. Where appropriate deal with the correspondence proactively and reply on behalf of the Facilities Team. If necessary, pass the query to the relevant department or function, following up to ensure the query is dealt with in a timely manner.
* Supporting complaints management related to Facilities, any queries or accidents related to works going on in sites.
* Staying overnight or weekend work or travelling may be requested, occasionally.
* Supporting special projects, facilities related such as carbon reduction plans, recycling, etc., as directed by Facilities Manager.
* Expected to perform towards the KPIs and objectives for the department, in alignment with our mission, vision and core values
Skills & Experience:
* Experience in coordinating Facilities Management system and Facilities’ task prioritisation (Facilities Ticketing system)
* UK Driving License
* Excellent communication & computer skills (Word, Excel, Outlook, Internet etc)
* Friendly, outgoing, professional, and polite.
* Strong attention to detail
* Excellent written and verbal communication skills
* Strong organizational and time-management skills
* Ability to work independently and collaboratively with a team.
* Preferential experience in healthcare, care homes or social housing (understanding of HTM specifications)
