Due to our continued growth, we are seeking a highly organised and proactive Service & Warranty Administrator to join our team at our Omagh branch.
In this role, you will be responsible for managing the warranty claims process for vehicles, ensuring that all claims are processed accurately and efficiently. You will also liaise with manufacturers, customers, and internal teams to resolve any issues and ensure smooth warranty operations.
Key Responsibilities:
1. Customer Interaction:
o Provide exceptional customer service via phone, email, and in person to address inquiries related to warranties, service requests, and repairs.
o Manage customer expectations by clearly communicating warranty processes, timelines, and any potential issues.
2. Warranty Management:
o Process warranty claims accurately and promptly, ensuring compliance with manufacturer and company policies.
o Coordinate with manufacturers, suppliers, and internal teams to resolve warranty-related issues in a timely manner.
o Track and maintain warranty documentation and records, ensuring completeness and accuracy.
3. Service Administration:
o Schedule and track service appointments for customers, ensuring efficient use of resources.
o Monitor the status of vehicles in service, communicating updates to customers as required.
o Ensure that all service-related paperwork, including job sheets and invoicing, is completed correctly and promptly.
4. Attention to Detail:
o Maintain accurate records of all transactions, service requests, and warranty claims.
o Review and verify the technical information on warranty claims and repair orders for accuracy.
5. Problem Solving:
o Investigate and resolve customer concerns related to warranty and service issues.
o Collaborate with technicians and service managers to find effective solutions.
Requirements:
* Proven experience in an administrative role, preferably within the automotive or service industry.
* Strong customer service skills with a focus on communication, problem-solving, and relationship-building.
* Exceptional attention to detail, with the ability to manage multiple tasks simultaneously and accurately.
* Proficient in Microsoft Office (Excel, Word, Outlook) and service management software.
* Knowledge of automotive warranty processes is an advantage.
* Excellent organisational skills, with the ability to prioritize tasks effectively.
* Ability to work independently and as part of a team.
* Friendly and approachable demeanour with a customer-first mindset.
* Excellent written and verbal communication skills.
* Strong problem-solving abilities, particularly in resolving customer issues.
