We are seeking a highly organised and proactive Administration Assistant to support our day-to-day office operations. Key Duties & Responsibilities: General Administration: Provide administrative support to the team, including filing, data entry, and handling correspondence. Client & Supplier Communication: Respond to queries from clients and suppliers, ensuring clear and timely communication. Scheduling & Coordination: Assist in the coordination and scheduling of site visits, meetings, and appointments for the construction team. Document Management: Manage and organise project documentation, including contracts, work orders, and invoices, ensuring they are filed accurately and accessible. Health & Safety Compliance: Assist in maintaining up-to-date records of health and safety documentation and compliance on-site. Reactive Maintenance Support: Provide support to the team handling reactive maintenance jobs, including updating records, scheduling jobs, and liaising with clients and suppliers. Reporting: Prepare reports, including progress updates, materials requests, and cost estimates, as required by the team or clients. Finance Support: Assist with basic invoicing, purchase orders, and tracking of payments. Ad-Hoc Duties: Assist with general office tasks and special projects as required by the team. Help with the preparation and coordination of tender documents and project proposals. Support the management team with any administrative needs, ensuring smooth office operations. Key Requirements: Experience: Previous experience in administration is desirable, with an advantage if you have experience in reactive maintenance and/or the construction industry. Skills: Strong organisational skills, attention to detail, and the ability to manage multiple tasks simultaneously. Team Player: Must be able to work effectively within a team and support colleagues across different departments. Communication: Excellent written and verbal communication skills. IT Proficiency: Proficient in Microsoft Office (Word, Excel, Outlook), and experience with construction management software is a plus.
