We are looking for a candidate with a level of experience in construction as well as administrative assistant skills to join our fast-paced construction company. The role involves communicating with vendors and clients, coordinating with subcontractors to obtain bids, managing purchase and change orders, and assisting with special projects.
Previous construction industry experience is expected but not required for the right candidate. The ideal candidate will have high administrative support experience, excellent computer and time management skills, and exceptional organizational abilities.

Responsibilities
* Written and verbal communication with staff, contractors, and clients
* Accurate completion of checklists and reports
* Generate work and product orders
* Assist with project planning and scheduling
* Monitor and communicate progress, status, and issues quickly and accurately
* Submit building permit applications and related documentation
* Submit WPS applications and Digger's hotline
* Manage tasks, time, and others well; Meet various day-to-day deadlines
* Assist with administrating our training program
* Prepare forms such as change orders, purchase orders, service agreements, and subcontracts
* Answer incoming phone calls and respond to emails in a professional way
* Execute clerical and general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies, and other administrative tasks for special projects as requested
* Coordinate meeting logistics and deliverables such as handouts, and make travel arrangements for the project management team
* Support the office manager, project manager, general contractor, and construction office staff by completing administrative tasks
Qualifications
* Knowledge of the construction industry is preferred
* Experience with scheduling and ordering is preferred
* Familiarity with project/process management is ideal
* Written and verbal communication skills are vital
* Time management and working well with others are key
* Excellent computer skills, especially Microsoft Office
* 3 years of administrative experience is needed - previous administrative duties in a busy construction office are ideal
* Associate’s or bachelor’s degree is a bonus - high school diploma is required
* Excellent time management, organization, and communication skills are needed
Compensation: $18 - $22 hourly
