To provide comprehensive administrative and secretarial support to the team. To assist with the development and implementation of the NHS South-East FSD strategy across the patch. To support both the admin manager and the HFMA branch in the administration and organisation of an ongoing programme of events to deliver the agreed training and development needs of the constituent organisations. Supports the Admin Manager in administration of an annual budget of £350k. Liaison with senior staff in approx. 40 organisations.

To provide a comprehensive and pro-active admin service to the skills development network (SDN) team, including:
• Provide comprehensive secretarial and administrative support for the SDN team including the logging and distribution of mail; taking action where appropriate; minute taking; maintaining and organizing schedules ensuring all commitments are accurately and speedily communicated to the team members. Handling complex, sensitive, contentious issues and filtering appropriately; maintaining stationery and purchase order records. Where appropriate assisting the administration manager with the continuous development of policies and procedures.
• Maintaining and controlling team diaries, ensuring that all meetings, conferences, and other events are recorded, and providing information on the whereabouts of other members of the directorate.
• Organising routine and non-routine meetings, and controlling all aspects of agendas, supporting papers, and attendance liaison. Taking, preparing, and circulating formal and informal minutes and monitoring follow-up actions as required.
• Organise and co-ordinate events and conferences including, sourcing venues, booking speakers, and inviting delegates to ensure the smooth running of the events.
• Providing a customer-focused service that includes meeting and greeting and looking after visitors e.g., Finance Directors, Chief Executives, service heads liaising with own and other directorates’ staff

• Ensure the smooth running of the SDN Office, Drafting and typing routine correspondence, and reports, circulating information, and establishing, and maintaining both electronic and manual filing systems that are directorate accessible to ensure effective and efficient working.
• Administer the SDN Budget, processing invoices, monitor budget spend, and assist the Administration Manager in budget forecasting to ensure timely and efficient use of resources.
• Develop and maintain a sound knowledge and understanding of the FSD Agenda and associated areas i.e., HfMA, professional bodies
