As a vital member of our cross-company support team, you will provide administrative assistance to the Maidstone team while also contributing to broader company support efforts.

Overview of the Role:
We are looking for an Apprentice Administrator (Bids) to join our Maidstone team. Throughout your apprenticeship, you will assist the Bid Writing Coordinator with bid submissions and tender proposals. You’ll also develop essential administrative skills, including the provision of excellent phone communication, production of correspondence such as writing letters and reports using Google Workspace, and assisting with various office maintenance duties while supporting the Managing Director.
Main Duties & Responsibilities:
Reception
* To welcome and provide hospitality to all office visitors and provide front of house services.
* Assist with answering incoming phones in a polite and helpful manner.
Office Management
* Ensure stationery is well maintained and stocked up.
* Ensure office supplies such as milk, tea, & coffee and any other consumables are always available and assist in dealing with issues of breakages, tidiness and cleanliness.
* Assist with checking the signing in and out sheet daily.
* Organise office maintenance and repair.
* Record daily incoming and outgoing post.
* Assistance with office health and safety duties, ensuring a safe working environment for yourself and others and adhering to the H&S policy.
* Undertake fire warden & first aid duties (with the relevant training).
Administrative Support
* Provision of general administration support, such as printing and binding for all teams and SMT, including the Managing Director.
* Organise travel and accommodation, and book meetings and lunches.
* Provision of administration support for other support team members.
* Client liaisons.
* Assist with social media posts across all channels.
* Assist with social value activities and reporting.
* To perform other reasonable duties as assigned.
Bids & Tendering
* Assist the Bid Team to produce quality bid submissions including EOI’s, SSQ’s, PQQ’s, tenders and interview documents.
* Produce structure charts and assist with the preparation and maintenance of case studies.
* Assist with the maintenance of the CV database for all key staff.
* Assist with portal management and tender email monitoring.
Skills & Expertise Required
* Outstanding organisational and multitasking skills, with the ability to prioritise workloads.
* Excellent communication and interpersonal abilities with a specific focus on attention to detail and accurately reviewing text for spelling and grammar.
* Adaptability and willingness to learn, with a positive attitude to undertake a wide range of tasks.
* Excellent team-working skills.
* Professionally dressed.
* Proficiency in the Google Suite is a ‘plus’.
* Social media experience is a ‘plus’.
