An opportunity has arisen to recruit a highly motivated and experienced individual to a Team Administrator position working 37.5 hours per week supporting the Getting Help Teams covering Teesside. The team is currently based at Evergreen, Acklam Road Hospital though this may change in the future. This post is fixed-term for 1 year to provide admin support to a developing team during a period of ongoing service transformation work.
As part of the community team, the successful applicant will provide comprehensive administrative and secretarial support to members of the team to ensure that they have everything they need to provide the best possible care to the children, young people, and families who use our service.
Main duties of the job
The post holder will be the first point of contact for service users, family, and carers, responding to a range of enquiries or concerns over the telephone. In addition, the post-holder will be dealing with enquiries to the community team from other agencies and professionals, taking action where necessary and ensuring messages are communicated accurately to relevant personnel in an appropriate and timely manner.
Excellent communication skills, both verbal and written, coupled with proven secretarial skills and previous experience are essential. You will be required to support and maintain standard systems and processes set out by the Trust. The successful candidate will need to have excellent IT and organisational skills and have a good knowledge and understanding of information systems.
We are looking for someone who feels comfortable multi-tasking in a busy environment and can prioritise their workload and work to deadlines, whilst dealing sensitively with issues and maintaining confidential information.

You must have the Right to Work in the UK in order to be successfully appointed to this role. Please note, this role does not meet the required eligibility criteria for sponsorship under the Skilled Worker visa and therefore the Trust is unable to offer sponsorship for this particular role.
Applicants must ensure that prior to applying they have agreement from their current line manager that they can be released on a secondment basis. In the event that permanent funding is secured for this post, the successful applicant will be confirmed in post on a permanent basis.
Person Specification
Qualifications
* Level 3 Qualification in relevant field or equivalent experience or willingness to work towards Level 3 qualification in Leadership and Management.
* Key skills/functional skills in literacy and numeracy Level 2 OR O Level (Grade C and above/New GCSE in Maths and English (Grade 4 to 9) are an essential requirement to be fully competent in the role.
* RSA Level 2 or equivalent Secretarial/administrative experience in a clinical environment.
Experience
* Experience of working in an administrative environment (diary management, filing systems, meeting coordination, minute taking, data input, collating and presenting information).
* Customer Service experience (face-to-face, answering calls, correspondence).
* Experience of organising competing demands and workloads.
* Experience of setting up and maintenance of administrative systems and processes.
* Experience of working autonomously and proactively.
* Experience of supporting/supervising staff.
* Experience of handling monies and working within financial guidelines.
Knowledge
* Comprehensive knowledge of Microsoft Office applications.
* Understanding of data protection and the need for confidentiality and how to maintain this.
* Knowledge of office systems and processes.
* Knowledge of NHS systems.
