Job Summary
This is an exciting time to join the medical Same Day Emergency Care (SDEC) team at Darlington Memorial Hospital as we continue to improve the service and experience for patients requiring emergency care. We are seeking to appoint a Ward Clerk to join our team in this vital administrative role. You will act as a first point of contact to service users and assist the clinical team in the administrative aspects of their daily duties.
You must be able to work effectively as part of a team and be able to use your own initiative when required. You will be expected to have excellent communication skills, both written and verbal, acting as a first point of contact to service users and clinicians accessing the department.
Main Duties of the Job
1. Provide administrative support to the clinical team, inputting service user details into the IT systems in a timely manner to ensure patient safety is maintained.
2. Liaising with support services to ensure required investigations are performed and then communicating appointments with service users and the clinical team.
3. Respond to internal and external telephone calls in a manner that is friendly and appropriate.
4. Act as receptionist for service users, providing signposting, support, and guidance regarding their patient journey.
5. Communicate effectively with patients, service users, their loved ones, and clinicians accessing services.
6. Ability to communicate via a number of mediums (i.e., telephone, email, etc.).
7. Provide general administration support to the unit, including photocopying, data entry, and circulation.
8. Preparation of clinical records prior to them being scanned onto the central system.
9. Arrange outpatient follow-up for patients as per clinicians' requests.

Responsibilities
The successful candidate will be required to utilise a number of IT systems daily to ensure streamlined and effective care for service users. You will possess good organisational skills, be able to cope with the unpredictable and fast pace of emergency health care, and be able to contribute to the development and flexible working arrangements within the team.
The Ward Clerk within the medical Same Day Emergency Care is integral to the smooth and streamlined running of this very busy department, acting as both reception to welcome service users and answering telephone queries from a variety of patients, relatives, and other health care professionals.
The Ward Clerk also provides administrative support to the clinical staff on duty to ensure that patients are booked onto IT systems in a timely manner. The Ward Clerk also ensures that required investigations, correspondence, and other essential components are arranged and communicated with patients, their carers, and the clinical team.
To ensure a single point of access to clinical records, the ward clerks prepare clinical documentation ready for scanning so that all clinicians within CDDFT can access clinical records.

Qualifications
Essential
* Good standard of general education.
Desirable
* Educated to at least NVQ level 2 in Business Administration (or working towards).
Special Skills & Knowledge
Essential
* IT skills - including the use of Word and Excel.
* Awareness of Caldicott, data protection, information governance, and confidentiality principles and legislation.
* Ability to demonstrate effective verbal, non-verbal, and written communication.
Desirable
* Experience of CDDFT systems including E-Camis, E-OPS, and Symphony.
* Understanding of medical terminology.
* Ability to work calmly under pressure, utilizing own initiative appropriately.
Experience
