Personal Assistant to the Siemens UK&I Business Head & Finance Head of the Electrification & Automation business We're looking for a special person with the skills and vision to help us transform the every day. Join our team playing a key role as Personal Assistant to our Senior Leaders of a very large growing business driving the electrification agenda in Siemens and the UK and Ireland market. The role is to provide high-level administrative, operational management and project support coordinating a busy schedule both internally and externally with a variety of partners. You will have good judgement, strong written and verbal communication skills, be highly organised and able to proactively handle and balance multiple priorities. You'll make a difference by: Proactive planning, prioritisation and organising of the diary Ownership for the successful set up of meetings end to end delivery eg. Including agenda setting and action taking, ensuring remote participants can join and that all materials are collated and available in the meeting Project manage and organise events and departmental activities such as team meetings, training, volunteering activities etc Collaborating closely with internal and external service providers to support the administrative needs e.g. meeting room bookings, hotels, travel and catering requirements including the coordination of large meetings Expense reporting and monitoring Managing the deadlines of the Heads Assist in preparing and running presentations, meeting minutes and reports Support with the onboarding/off boarding process for employees Working closely on a day-to-day basis with other Executive & Personal Assistants across Siemens, external suppliers, partners and associations. Supporting the Heads to be as effective as possible, in their roles in driving the strategic direction and business performance Bringing fun and energy, driven through proactivity and ownership You'll build on your existing skills and expertise, including: We are looking for an experienced PA with the ability to assess priorities and make sound judgement calls when needed. You will have extensive administrative experience in a sophisticated environment with the ability to work independently, determining priorities and have a flexible approach to your role. We're also looking for the following attributes: Hyper organised and fully literate in standard Microsoft packages. Strong teamwork skills, and the ability to offer suggestions and improvements to processes. Quick learner with attention to detail Responsive to emails/texts/phone calls, with some contact possible outside normal business hours Strong team player willing to be flexible and pitch in Discretion and confidentiality A self-starter who can work proactively, prioritise and work on projects simultaneously People skills needed to collaborate with colleagues, interact and develop professional relationships Customer focused and situational sensitivity This is a great role for someone who enjoys managing projects, collaborating and feels comfortable working at an executive level.
