The team
The HR Department focuses on the delivery of strategy, policy, procedures, and advice to enable a supportive working environment and the development of the skills and expertise of employees and partners. The department encompasses Generalist HR, Resourcing and Graduate Recruitment, Learning & Development and Equity, Diversity & Inclusion. The successful candidate will join a fast-paced team who work collaboratively to deliver HR services for all members of the firm.
The opportunity
An exciting opportunity for a HR & Payroll Administrator to join our busy team who will provide efficient and accurate administrative support for the whole team. The successful candidate will also play an active role in maintaining and improving administrative processes and procedures within the department.
KEY RESPONSIBILITIES
Payroll, Systems & Compensation
Act as a system administrator, conducting day-to-day administration and maintenance of the HR, payroll and benefits systems, ensuring data accuracy and integrity at all times.
Processing the monthly payroll end to end, conducting activities including, but not limited to:
1. Collating and organising the monthly data to be processed
2. Checking and inputting all changes into the system, before calculating payslips
3. Performing payroll, benefit and pension reconciliations
4. Issuing P45s to leavers
5. Preparing the necessary reports to be checked by the HRIS & Compensation Manager and then signed off by the Chief Financial Officer
6. Preparing the salary journals and month-end reports for the Finance department
7. Assist the HRIS & Compensation Manager with the year-end payroll processes (e.g. P60s and P11Ds)
8. Act as the first port of call for payroll, benefit and system related queries, troubleshooting any issues and escalating to the relevant team member when appropriate
9. Provide administration support for the annual salary review process, sending out salary increase letters and updating the relevant systems
10. Support with the benefit administration processes, including but not limited to reconciling invoices, the open benefit windows and benefit renewals
11. Prepare the weekly joiner, monthly changes and leaver files for the Firm’s benefits platform
12. Respond to surveys and produce reports as per business need, conducting data analysis where necessary
13. Assist the team in job code mapping of all roles and assisting with the annual salary benchmarking submissions
14. Assist with the Gender Pay Gap reporting and any future reporting requirements
Operations
1. Maintain and update employee records within the HR and Payroll systems as well as the Firm’s document management system
2. Conduct in-person new joiner inductions
Recruitment/Early Careers
1. Assist Recruitment Advisor with ad-hoc recruitment needs by liaising with candidates, agencies and internal stakeholders to ensure a smooth recruitment process for all
2. Assist with the administration and coordination of the trainee, intern and solicitor apprentice programmes, including inductions, summer vacation schemes, and work experience programmes, particularly relating to on-boarding processes and offer processes
3. Provide general assistance with Early Careers recruitment & development matters, such as events and marketing
Learning & Development (L&D)
1. Support the L&D Team with organising and delivering internal and external training
2. Administration support for Performance Review processes
Other responsibilities
1. Answer email queries that come into the HR team’s shared email inboxes, responding to or directing each email to the relevant person as necessary
2. Process invoices, seeking the relevant approval and recording in the budget spreadsheet
3. Assist with the administration and coordination of Equity, Diversity & Inclusion (EDI) and CSR related activities.
4. Assist the team with ad hoc projects and other duties when required

Who we are looking for
Skills & Experience
1. Previous entry level experience (internships/placement year) in a professional services or legal Human Resources preferred but not essential
2. Previous experience and knowledge of payroll processing preferred but not essential
3. Numerically minded
4. Clear verbal, listening, and written communication skills
5. Ability to multi-task and stay organised
6. Excellent attention to detail
7. Strong customer services and team work ethic
Education and Qualifications
1. Obtained Grade A / 7+ GCSE Maths (essential)
2. Obtained B at A-level maths (preferred)
3. May be part/fully CIPD qualified or looking to study for such qualifications as part of their role
