Office Administrator Birmingham £28,000 to £30,000 Basic Salary Our client designs and manufactures bespoke products for the Retail and associated industries. Reporting directly to the Service & Installations Manager, this versatile role is responsible for providing administration support to the Service & Installations Manager and the wider Service & Installations Team. All work must be carried out in accordance with the ISO 9001 quality management system standards and procedures in place. Requirements GCSE or equivalent in English & Mathematics is required Good Microsoft Office skills Minimum 3 years in an administration role. Experience in a combined office and factory environment. Experience of working in a fast paced, multi-tasking, highly pressured role. Experience of working within agreed targets, KPI’s, and deadlines. Experienced and proficient in using Microsoft Office software. Organisational skills and ability to prioritise tasks effectively. Comfortable with technology such as smart phones and laptops as well as software to support effective communications such as Teams or Zoom. Strong accuracy and attention to detail. Effective in producing reports. A friendly people person with excellent communication and skills. Focus on timely delivery of results and able to work effectively in a fast-paced environment. Able to work under pressure, juggling multiple tasks with tight deadlines whilst remaining calm and effective. Key Responsibilities: Effective allocation of resources to ensure all installations are completed on time, to include people, equipment, equipment hire, and vehicles, utilising the relevant in-house software to its full potential. Implement, communicate, control and monitor the installation schedule, review and adjust the schedule where needed. Effectively communicate any problems that may impact completion of an installation. Proactively and efficiently manage the diary of the Service & Installations Manager. Provide administration support primarily for the Service & Installations Manager and Installation Teams, where required. Utilise the problem reporting software for effective reporting and resolution of any issues. Support the Installation Teams to ensure they have everything they need to carry out the highest quality installations. Identify installations with an Automatic Operator for the Sales team to contact about Service Plans. Organise and schedule post installation activities such as repairs and call outs, feeding back information on original installation failures. Responsible for maintaining service agreements on an annual basis and booking service visits when due. Ensure all site paperwork is completed correctly by the Installations Teams, on a daily basis. Ensure sufficient photographs and/or videos are uploaded and available for all installations and call outs. Support new starters into the business by ensuring they have a fuel card, and driver Dallas key, where applicable. Manage and organise company vehicles to ensure they have appropriate tax, MOT, servicing, insurance, with minimum time off the road and disruption to the business. Manage parking charges, appealing where appropriate.: Booking hotels for installation overnight stays. Following up on required Installer paperwork. Responsible for achieving monthly targets and KPI’s, as agreed.
